Assign travellers to a Travel Arranger

Arrangement has many meanings, interpretations, understandings even. To arrange is to organise, to make a plan, to put into action. To book, to schedule - to arrange.

Travel Arrangers are essentially the assistant to the traveller, booking on their behalf, making arrangements in their name. A Travel Arranger can be one single person with one single traveller, or a Travel Arranger can be multiple people, covering thousands of employees.

They are the designated arranger, the go-to for all things travel. And as the Company Administrator in the Locomote Corporate Travel Platform, you have complete control over what your Travel Arranger can do, and what travellers are assigned to them. It's up to you to properly monitor and manage not only the data of travel requests, but to manage the profiles and the people who submit those requests.

Within the administrator Dashboard you will notice (if you haven't already) a sub-heading titled "Assign Travellers To" and within these modules, you can assign Travellers to anything, from Cost Centres or Employee Groups. If needed you can also remove Travellers from their preferred or specified modules.

Add travellers to a Travel Arranger

  1. Click on the user Avatar and select Admin to access the Admin home page

  2. In the left-hand panel under Assign Travellers To, click on Travel Arrangers

  3. To add a traveller, click on the Name of the Travel Arranger (displayed in blue text)

  4. In 'Travel Arranger:...' find the traveller you wish to add to the selected Travel Arranger by typing their name into the search field

  5. Once the traveller is displayed, select the name and click Add

  6. The traveller name will now be added to the list.

Remove travellers from a Travel Arranger

  1. Click on the user Avatar and select Admin to access the Admin home page

  2. In the left-hand panel under Assign Travellers To, click on Travel Arrangers

  3. To remove a traveller, click on the Name of the Travel Arranger (displayed in blue text)

  4. In 'Travel Arranger:...' identify the traveller from the list that you wish to remove

  5. To the left of the traveller name click Remove

  6. No prompt will appear, the name will no longer be displayed in the list of travellers

Configure arranger assignments via profiles

  1. An alternative way to assign the Travellers to Travel Arrangers is via the user profile

  2. Click on the user Avatar and select View Profiles to access all Company Profiles

  3. In the Active Profiles tab, locate the user either via the search field at the top (searching by Name, Email or Employee ID) or locate them in the list

  4. Once located, to the right-hand side of the user's name click Edit

  5. In Edit Employee Profile, navigate to the Assignments tab

  6. From this tab, under the Travel Arrangers field, start typing the name of the Travel Arranger(s) and click on the name that appears, to confirm

  7. Click Update Profile to save changes

  8. To confirm changes, click on the user Avatar and select Admin to access the Admin home page

  9. In the left-hand panel under Assign Travellers To, click on Travel Arrangers

  10. Search by name to locate the desired Travel Arranger or locate in the list

  11. Once the Travel Arranger is identified, click on the Name of the Travel Arranger (displayed in blue text)

  12. On the 'Travel Arranger:...' page identify the traveller from the list that you just added where their name should appear.

  5. In Edit Employee Profile, navigate to the Assignments tab

  6. From this tab, under the Travel Arrangers field, locate the name and click on the x to the left of the group name to remove

  7. Click Update Profile to save changes

  8. To confirm changes, click on the user Avatar and select Admin to access the Admin home page

  9. In the left-hand panel under Assign Travellers To, click on Travel Arrangers

  10. Search by name to locate the desired Travel Arranger or locate in the list

  11. Once the Travel Arranger is identified, click on the Name of the Travel Arranger (displayed in blue text)

  12. On the 'Travel Arranger:...' page identify the traveller from the list that you just removed where their name should not be listed.
