One of the key benefits of Loxo is that all of your data is in one place, as Loxo has the tools to manage sales and business development as well as your recruiting pipeline and reporting all in the same platform. That said, we recognize that there may be times when exporting data is appropriate. Follow the below steps to export your data to a CSV file.
Note: You must be an Admin on the account in order to export data from Loxo.
Export Select People or Company Records
You can export a group of people or companies from Loxo by following the same steps. The example below uses records on the People page, but you can follow the same steps to export from the Companies page as well.
Select the records that you want to export using the checkbox on the side of their profile.
From the List view, the checkbox is on the left.
From the Card view, the checkbox is on the right.
When working with larger datasets, you can choose to "Select All." This will also present you with the option to "Select XXX people from all pages."
To "Select All" from the List view, check the box to the left of the "Name" column.
To "Select All" from the Card view, look to the upper right corner of the Card list.
Click the "Export" button that appears in the upper right-hand corner.
Choose "Export selected" to continue with a CSV export.
A downloadable CSV will be sent to the email address associated with your Loxo username.
Note: Resumes, Forms, Documents, and other attachments must be exported individually from each profile or record.
Frequently Asked Questions About Exporting CSV Data
How long will the export take?
The number of records you select, along with the number of fields you have displayed on your Grid, will determine how long the export takes to hit your email. Fewer records will export faster than a large list of records.
What data is included in a CSV export?
The fields, both built-in and custom, that are included on the People page or Companies page determine the data that is included in the exported CSV. Resumes, activity feed history, work experience history, education profiles, etc., will not be included in the export.
Additionally, for accounts with access to Loxo Source, please keep in mind that each account is limited to exporting 500 profiles that originated from Loxo Source per 30 rolling days. Source profiles that you attempt to export that exceed this limit will not be included in the CSV export. This is Loxo's proprietary data and will be limited to protect our own data and ensure compliance with data protection practices. The 500-profile limit applies universally across the platform and cannot be bypassed through API use. Any data that you have added to a profile found in Loxo Source, such as Custom Field entries, is considered your data and will be exported.
How do I export my data into Excel?
Loxo will provide your data in a CSV file, which you can then import to view as a spreadsheet in applications like Excel. To import a CSV of people or companies exported from Loxo into Excel:
Export the data from Loxo by selecting records and clicking the Export button.
Open Excel and go to Data > From Text/CSV.
Select the downloaded CSV file and click Import.
In the import wizard, ensure the file origin is set to UTF-8 and the delimiter is set to "comma."
Click Load to import the data into Excel.
Remember, the exported CSV will only include the fields that were visible on the List view of the page in Loxo when the export was performed.
Why can I not export as a CSV?
Exporting to CSV is a function reserved for agency admins. To be able to use the export function, please reach out to one of the agency admins on your account to request that they update your permissions.
Handling Large Data Exports:
For large-scale exports, such as more than 15,000 contacts, Loxo may restrict exporting to one page at a time. Users requiring a complete export should contact Loxo’s Support Team for further assistance.
Can I export job data?
To export candidates related to a specific job:
Open the Job Pipeline in Loxo.
Switch from the Kanban view to the List view using the toggle in the upper left corner.
Select all necessary candidates associated with the job.
Click the "Export" option in the top-right corner to generate a CSV file of the candidates within the job.
In certain account setups, only administrators might have the required permissions. If you cannot export this data, contact your account administrator.
To export additional job-specific data, you can utilize Loxo Reports to track specific information concerning your job (or jobs) and then export the report itself. A full data export will provide all job data, but a full data export is only available at the termination of a contract.
Exporting Emails
Did you know you can export your Email Log data from Loxo, too? To export emails from your Loxo account, use the following steps:
Click on the three dots of your navigation and select the Email Log for your account.
Use the date range setting in the top-right corner to define the time period you'd like to export.
Filter the logs as needed using the search bar or the column headers.
Once you've added your necessary filters to the Email Log, click the "Export" button located in the upper right corner.
How can I export all of my data?
Please reach out to support@loxo.co if you are looking for a full data export. Please keep in mind that a full data export is only available upon fulfillment of a contract.
Post-Account Closure Data Removal:
Data in Loxo is securely removed 30 days after non-renewal to comply with Loxo's Terms of Service.
Reopening old accounts or recovering deleted data is not permitted unless urgent recovery is arranged, which may involve custom engineering fees.
Transferring to a new subscription plan can help restore some functionalities if required.
