Whether they are candidates, contacts, or companies, you can easily merge duplicate records in your Loxo system. Merging two records combines all contact information, activity history, tags, and details into a single profile.
Criteria for Auto-Merge to Merge People Profiles
For a duplicate to be identified and merged automatically, the records must share a similar name (70% match or better) and at least one of the following criteria:
An identical email address
OR
An identical social media URL, i.e, Twitter "X," GitHub, or Facebook*.
Important Notes to Keep in Mind:
If the duplicate profiles share a matching email address, but the email address was found using Loxo Contact Finding Info Agent on one of the profiles, the profiles will not be merged.
If the duplicate profiles share an identical URL or email address, but at least one of the profiles includes five or more social links* or emails, the profiles will not merge.
Enable/Disable Auto-Merge for People
You have the option to enable/disable auto-merge for person profiles who have an identical email address or social networking profile* and a similar name. Manage this setting by navigating to Settings > Data Enrichment > Auto-Merge Duplicate People. Once auto-merge has been enabled, it auto-merges profiles that match the above criteria moving forward. It does not retro-merge duplicates.
Auto-merge makes the oldest profile the main profile and will merge all the newer data from the duplicates into the main profile.
Enabling auto-merge will review new information and profiles being added to detect and merge duplicates. However, turning on auto-merge will not review your entire database for potential duplicates in your historical records.
Auto-merge is a valuable tool for ongoing database management. However, due to variations across sources and the frequency of information changes, it is not intended to replace comprehensive database management or full duplicate detection.
Auto-Merge for Companies
Loxo offers the ability for the system to automatically merge duplicate companies as well. This feature must be enabled within your account by our Support team so please reach out if you would like it enabled.
In order for the system to recognize companies as duplicates, they must have a matching name and website URL, not social URL.
Merge Duplicate Records
You may find that there is more than one record for the same person or company. You can organize your data to merge records at any time.
To merge duplicate person or company records, select the records you want to merge from your People Grid or Companies Grid.
Select "Merge" in the upper left corner.
You can choose which record you want to keep, and we recommend choosing the most up-to-date record. A person can only have one name, current title, current company, and current location. The profile you choose to "Keep" will retain those current data points.
Click Merge.
We will then ask you to acknowledge and confirm that you want to merge the records. You will need to acknowledge that you are about to merge a number of records and that merging records is permanent - meaning it cannot be undone.
Once you have verified that you want to merge the data permanently, check both boxes, and the button will become available. You may then click "Merge."
Follow the same directions as above for manually merging company records.
Depending on the age of the profiles as well as the quantity of data, history, and notes in each profile, it can take a few minutes for all of the data to merge and appear on one profile.
Review Flagged Data in Your Duplicates Log
If you don't have time to manually monitor your team's data for duplicates each day - you are not alone! Loxo makes it easy to manage your data and minimize the amount of duplication across your People and Companies without spending a ton of time reviewing and cross-referencing each individual record.
Use Loxo's Duplicates Log for a quick overview of data that needs your review as potential duplicates. Follow the instructions below to access your Duplicates Log.
Click on the three dots on the navigation bar and choose Duplicates from the pop-up menu.
You will see a list of the potential duplicates flagged for review.
Click on the name of the potential duplicate record to open and review the data.
Use the tools below to manage data in the Duplicates Log. Not all records flagged will be confirmed as duplicates, so use the appropriate action to merge or remove the flag across these records. If the default "Keep" is not the correct profile, simply click on the merge button, and it will switch.
Use the Delete button on the right to delete records you do not wish to keep.
Use the Mark As Not a Duplicate button on the right to keep multiple records for people who happen to have the same name.
Use the Merge Records button to merge the duplicate records' information into one.
When it comes to merging data, we recommend choosing the most up-to-date profile to retain. A person can only have one name, current title, current company, and current location. The profile you choose to "Keep" will carry over those current data points on the merged profile.
