How to Use the Mindshare Calls Tool

Mindshare Calls make it easy to turn peer discussions into live conversations.

Instead of manually coordinating schedules, you can propose a topic, offer multiple time options, and let your peers vote on the best time. The system automatically schedules the winning time and sends calendar invites.


How It Works

1️⃣ Create a Call

To get started:

  1. Click Add Post

  2. Select Schedule Mindshare Call

  3. Add:

    • A call topic

    • Key discussion questions

    • Any attachments (optional)

  4. Select at least 4 time slots (required)

    • Each time slot defaults to 1 hour

  5. Submit your post

Voting will remain open for 2 business days.

Your call will now appear in your discussion feed.


2️⃣ Voting Phase (2 Business Days)

During this time:

  • Members vote on their preferred time

  • The post displays when voting closes

  • Members receive notifications

When voting ends:

  • The time slot with the most votes wins

  • The call is automatically scheduled


3️⃣ After the Call Is Scheduled

Who Gets a Calendar Invite?

Automatically invited:

  • The host

  • Members who voted for the winning time

Other members:

  • Can still click Register to join

  • Once registered, they’ll automatically receive a Google Calendar invite


4️⃣ Registration Window

If the call is scheduled for a future date:

  • Members can continue registering until the call occurs

  • Registration triggers a calendar invite

  • Zoom details are visible in:

    • The post itself

    • The Google Calendar invite


Frequently Asked Questions

I didn’t get a calendar invite.

Calendar invites are automatically sent to:

  • The host

  • Members who voted for the winning time

  • Members who register after scheduling

If you didn’t vote for the winning time, simply click Register on the post to receive the invite.

If you’ve registered and still don’t see it, check your spam folder or reach out to support@thesuite.com.


Can I change the time after posting?

Time slots and voting options cannot be edited once the post is live.

To change the time:

  • Create a new Mindshare Call post

  • Reopen voting

If needed, we can help cancel your existing post so you can start fresh.


Can I extend the voting window?

No. Voting automatically closes after 2 business days and cannot be extended.

If you’d like more participation, you’re welcome to create a new call with updated time options.


Can I personally invite specific people?

Direct personal invites are not available in this version.

However, you can:

  • Share the link directly with someone via the Member Directory

  • Encourage peers to vote or register


I missed voting — can I still join?

Yes!

As long as the call hasn’t happened yet, you can click Register to receive the calendar invite and join.


Where do I find the Zoom link?

You can access the Zoom link by:

  • Checking your Google Calendar invite


What happens after the call?

After the call:

  • Attendees receive a recap email

  • Members who registered or voted but couldn’t attend receive a summary

  • The post remains available for continued discussion


Best Practices

  • Offer a variety of time slots to maximize participation

  • Include clear discussion questions to guide conversation

  • Share the post directly with members you’d love to hear from
