Setting up Supplier Rules

Create custom automation rules or let Luca AI suggest them based on common patterns.

Supplier Rules on Luca

Head to the Supplier Rules tab to create rules specific to a Luca client. Rules mean you can dictate exactly what values should be set across a variety of fields for a given supplier. Rule values will always overwrite extracted values. Each supplier can only have one rule and all fields are optional so a rule can be as simple or complex as required.

Rule fields include:

  • Account code

  • Tax rate

  • Line item mode

  • Description

  • Tracking Categories/Classes

  • Publishing state (Xero only)

Rules are always tied to your supplier list that is tied to a particular Xero or QuickBooks connection.

Note: if you create a rule on Luca and then connect a different Xero or QuickBooks account, your rules will not carry over to the new accounting software connection. You must reconnect the original accounting software account to reactivate your rules or create a new set of rules based on your new set of suppliers.

AI Suggested Rules

As you continue to use Luca, our AI will notice common patterns for each supplier and, where relevant, suggest rules that you can use to automate the classification of invoices from certain suppliers. You can then choose to approve or reject these suggested rules either in the moment they are suggested or later from the Supplier Rules tab.
