How it Works

Provision in Entra

  • You create an employee email in Entra

  • Entra creates a LumiQ organization membership for that email

Employee claims the LumiQ membership

  • The employee signs in to LumiQ using that email

  • This first sign in creates the LumiQ user profile and links it to the org membership

Create users in LCVista

  • In LCVista, you create a user for each employee

  • Assign each LCVista user to the LumiQ catalog in LCVista

Daily mapping job

  • Once each morning, LumiQ runs an LCVista sync

  • The sync looks for newly created LCVista users

  • For each new LCVista user, LumiQ searches for a matching LumiQ org member by email

  • If emails match, LumiQ maps the LumiQ member to the LCVista user for compliance tracking

What you need before you start

  • Active Directory Sync to LumiQ is set up for your company

  • Employees know to sign in to LumiQ to claim their membership

  • LCVista users exist for your employees

  • LCVista users are assigned to the LumiQ catalog

  • Employee emails match across Entra, LumiQ, and LCVista

Setup checklist

Entra

  • Create or update the employee in Entra with the correct work email

  • Confirm Entra is provisioned to LumiQ for your tenant

  • Verify the LumiQ org membership appears for the new email

Employee step

  • Ask the employee to sign in to LumiQ once

  • Confirm the user now appears in your LumiQ member management list as Access = Enrolled

LCVista

  • Create the user in LCVista using the same email

  • Assign the user to the LumiQ catalog

Sync and mapping

  • Wait for the next morning’s LCVista sync

  • After the sync, the LumiQ user should be to their LCVista user

What gets synced

  • New LCVista users are detected each morning

  • LumiQ attempts email-based mapping to existing LumiQ org members

  • If a match is found, mapping is created for compliance tracking

What does not happen

  • LumiQ does not create LCVista users

  • Mapping does not occur if the employee has never signed in to LumiQ

  • Mapping does not occur if emails do not match

Troubleshooting

  • Employee is not mapped after the sync

  • Check that the employee signed in to LumiQ at least once

  • Confirm the email in Entra, LumiQ, and LCVista is identical

    • No aliases

    • No plus addressing

  • Make sure the LCVista user is assigned to the LumiQ catalog

  • If the user was added to LCVista after the last sync, wait for the next morning sync

  • If the issue persists, contact LumiQ Support with the employee email and screenshots from LCVista user details

Duplicate or wrong mapping

  • Confirm only one LCVista user exists per employee

  • Remove any duplicate LCVista profiles

  • Ensure only the correct LCVista user is assigned to the LumiQ catalog

Employee changed emails

  • Update the email in Entra

  • Update the email in LCVista

  • Ask the employee to sign in to LumiQ with the new email

  • Contact LumiQ Support to assist with remapping if needed

Best practices

  • Standardize on primary work emails across Entra, LumiQ, and LCVista

  • Instruct new hires to sign in to LumiQ during onboarding

  • Add LCVista user creation to your HRIS onboarding checklists

  • Review unmapped users weekly and resolve before the next reporting cycle
