Create a Room (And Share it)

Rooms in timeOS let you organize your work into focused, contextual spaces. Each room brings together everything related to a client, project, meeting, or topic — so you can keep context, automate actions, and collaborate with AI effortlessly.

🧩 What are Rooms?

Think of a Room as your intelligent workspace.

Rooms automatically collect related meetings, recordings, contacts, files, and notes — and let your Agents work within that context.

You can create a Room for:

  • A specific client or account

  • A project or campaign

  • A recurring meeting or theme

  • Anything you want ongoing AI awareness for

Rooms give continuity to your work. When you return, the AI already knows what’s been discussed and continues the thread from where you left off.


🚀 Create a new Room

  1. Open timeOS.

    Log in to your account and view your Rooms list on the left-hand sidebar.

  2. Click + New Room.

    You’ll see a button labeled + New Room under “My Rooms.”

  3. Add context.

    A pop-up will appear saying “Create a new room.”

    Click Add Context to start adding meeting recordings, clients, contacts, and files.

    💡 The more context you add, the smarter your agents become inside that Room.


🧠 What happens inside a Room

Once your Room is created, you can:

  • Chat naturally and ask AI about anything related to that context.

    Try: “What were the next steps from my last client call?”

  • Run Actions directly with your tools (e.g., Gmail, Notion, Slack, Google Docs).

    Try: “#Send follow-up email.”

  • Create Deliverables like summaries, reports, proposals, and docs.

    Try: “Create a proposal for this client.”

timeOS keeps everything in one thread, recognizing patterns and connecting insights across time. You don’t need to tag or organize anything manually.


⚙️ Built-in Room Agents

Each Room comes with built-in agents to help automate your workflow:

  • Create a proposal: Generate a client-ready doc based on previous calls.

  • Collect testimonials: Turn customer feedback into shareable quotes.

  • Present client snapshot: Summarize your entire relationship and insights.

As you continue using your Room, AI grows with you — writing recaps, sending emails, or creating docs automatically when relevant.


🤝 Sharing your Room

Once you’ve created a room in timeOS, you can easily share it with your teammates or with people outside your organization.

🔗 Share with your team

  1. Open the room you’d like to share.

  2. Click Share Room at the top.

  3. In the Share with team tab, you can:

    • Share with the entire team – toggle this on if you want everyone in your team to automatically see and access the room.

    • Share with specific members – type in the names or emails of the teammates you’d like to invite.

    • If you can’t find a teammate, click Add to team to invite them first.

👉 Team members will see the room under their Team Rooms tab, and they’ll have full access to the room’s content.


🌍 Share with guests (public access)

If you want to share a room with people outside your team, use the Public access option:

  1. Open the room and click Share Room.

  2. Switch to the Public access tab.

  3. Enable Everyone with the link can access.

  4. Copy the link or send an invite by entering the guest’s email and clicking Send.

This allows external collaborators to open the room directly from the link.


👥 Manage default sharing settings

  • By default, meetings and notes can be automatically shared with your invited team members.

  • You can always adjust this from your Team settings to control what is shared automatically and what remains private.


✅ That’s it! You’re now ready to collaborate in real-time by sharing rooms inside or outside your team.

⚠️ When you share a Room, others can access all its content — including linked recordings, files, and insights.

If you’d prefer to share just an artifact (like a summary or doc), you can remove recordings from the context menu before sharing. No worries, you can still find this recording by searching for it in the context of a new room.
