Overview

The following are the main areas of Due Date Management (DDM):

Dashboard
Settings
Clients
Projects

Dashboards

The Dashboard is made up of several sections that filter and segment projects for All Users, or Selected Users, Due Dates, Tags and Status. The Recent Activity Feed will display Projects and Tasks as they are completed. The Dashboard is intuitive with Point-and-Click functionality to quickly view the Projects that meet your criteria.

Settings

Settings is comprised of 4 sections:

Tags
Company Template Library
Email Notifications
Default Assignments

Tags

There are 9 tags, 2 of which are locked. The 2 tags that are locked are Available for Work and Extended. The Available for Work tag is automatically tagged on a project when a Received Date has been entered. The Extended tag is automatically added on a Project if an Extension Date is used.

The remaining 7 tags can be customized. To edit a tag, simply click in the field and enter a description.

Company Template Library

Project Templates can be Added from the Master Template Library (see below), or you can create your own customized Project Templates. The icon to drill down, allows you to quickly see the Tasks that are associated with the Project. To edit the Company Template, click on the Template name.

Settings - Duplicating Projects

Company Templates can be duplicated to clients in batch. To duplicate a Company Template, select the checkbox and select the Duplicate button. Only 1 Company Template can be duplicated at a time.

Selecting clients to duplicate a Company Template can easily be done by filtering the client list in the Search Clients filter. You can filter by Client Type, User, Manager. Selecting the Duplicate button will create new projects for all selected clients based on parameters in the Company Project Template.

Master Template Library

The Master Template Library contains generic Project Templates that can be Added to your Company Template Library. Selecting the Add button will change to a green color and indicate Added indicating that the Project Template has been added to the Company Library.

Email Notifications

Email notifications can be enabled or disabled by clicking the appropriate check box as shown below. (See Help Article DDM - Settings)

Project Assigned. When a project is created, there can be possibly 2 emails that are generated:

  1. Manager assigned

  2. User Assigned

Each of these individuals will receive an email notification. If the Manager and User Assigned are the same, only 1 email notification will be generated.

Task Assigned:

  1. If there are Tasks for the Project, the #1 Task - User Assigned will receive a email notification when a Project is created.

Task is Ready to be Worked:

  1. If there are multiple Tasks on a project, as each task is marked completed, then the next Task - User Assigned will be notified by email that the Task is Ready to be Worked.

Project - Ready for Review:

  1. If a project has marked 'Requires final review to complete the project', once all tasks have been completed or a Project with No Tasks is Completed, the status will be changed to Ready for Review and the Manager assigned will receive an email notification.

Project - status In Progress

  1. Once a project status changes to 'In Progress', the manager will be notified by email of this status change. The project status is changed to 'In Progress' when at least 1 task is marked completed.

Project - Failed Review

  1. If a manger Fails a Review then a record is added to tasks called Failed Review. A Note could be emailed to any user indicating why the Project Failed Review. If a Project fails review, the status is changed to In Progress. The Failed Review task item must be marked complete in order to trigger the Ready for Review status at which time the manager will receive another email notification.

Default Assignments

Default assignments are used for Adding Projects from the Master Template Template to the Company Library.

Project List

The Project List is where Projects are displayed based on filtered criteria. Projects can be further filtered by changing the values in the Drop-down lists or by keying information in the Search by filter box.

Projects can be Edited by clicking on the Project name. To view the client history, select the client name to view all projects associated with a client.

From the Project List, hovering over the color tags will display the tag description. Hovering over the Memo icon will display the Project Memo.

If any notes were added to the project, a Note count will be displayed in the Project List.

Please Note: The Search By box can be used to quickly find client projects, or projects based on the information entered in Search By.

Understanding How Project Status Works

4 Types of Status

Pending
In Progress
Ready for Review
Completed

Pending

All Projects that are created have a status of Pending.  

In Progress

If Projects have Tasks as part of the work flow then upon completion of at least 1 Task, the status will change to In Progress automatically.

Ready for Review

Each Project has an option that can 'Requires final review to complete the project'.  If the option 'Requires final review to complete the project' is checked then once the last Task is completed, then the Project Status will automatically change to Ready for Review.  

At this point, the Manager can either Finish the Review or Fail the Review.

Finish the Review

If the Manager chooses to Finish the Review then the Status will be changed to Completed.

Failed Review

If the Manager chooses to Fail the Review then the Status will be changed back to
In Progress.  An entry will be in the Task List called Failed Review.  The Manager may email a note to a specific user as to why the Project Failed the Review.  Once the user completes the Failed Review task, then the Project Status will be changed to Ready for Review once again.  If the Manager chooses to Finish the Review, then the Project Status will be changed to Completed.

Completed

Project Status will be changed to Completed once all Tasks have been completed.

Project Status will be changed to Completed when a Project that Requires Review, Finishes the Review.

Project Status will be changed to Completed from the Project List screen when the radio button is selected to Complete the Project.  If the project has Tasks that have not been Completed, the Tasks will be marked Completed and the Project Status Completed.

If a Project has no Tasks and is Pending, from the Project List the Status changes from Pending to Completed.

If a Project has no Tasks and is Pending but also Requires Review in order to be completed when the Project is Completed from the Project List you will be prompted to Keep for Review or Complete the Project.


Please Note:  Any Completed Project Status can be changed by selecting the Uncomplete button.  

Selecting to Uncomplete a Project will change the Status (see below) based on the following:  

Pending - if no Tasks

Ready for Review - if all tasks are completed and the projects requires review

In Progress - If all Tasks are marked Completed, then at least 1 Task must be unchecked as not completed.  Then the Uncomplete button can be selected in order to put the Project back In Progress.  Otherwise, if all Tasks are Completed the Completed status will never revert to In Progress.

FAQ's

>if they (the customer) ARE NOT getting an error while fetching, but they see no project/task data, we should be instructing them to click reset > fetch, even if they have no filters applied

>How can I change a time entry from one project to another- same client?

I found out that to change the project engagement, you need to go to Client>Engagement>Open Time and then pull up the open time sheet and that is where you can change the project. The Project - Engagement has to be associated to the Client - Engagement before it will appear in the dropdown for the project.


>For the issue with PM Tags disppearing I see where that was resolved however will the customer have to add back the TAGs they initially applied to their projects?

Correct. The tags appeared to disappear because the system wasn't saving them. We've corrected that issue but any tag that isn't visible will need created in the system. For some users if they added the tag back in the system it repopulated to all projects that already had that tag

>For West Coast customers to make sure projects were not considered past due since time difference between west and east coast.

For the project not showing as past due, the dev team is looking to make some changes that will accomodate our west coast customers. In the meantime, the current work around for you would be to set your end of day time for 3 hours later since our server is on EST. So set your end of day time to 8pm.

>When we completely finish a project, we don’t want next years created right away. and not rolling over a project to next year as soon as it is completed. We want to be able to do those at a time of our choosing. How do we do that?

he needs to set them up as none in the repeat option. Then mass assign out at the beginning of the year for the “new” projects. Another option is he can filter by “due this year” to only see projects for this year.

>How many tags can I have?

allows up to 20 tags now.

>what does the option called "Previous Period/Year Policy Definition" mean within a project?

That has to do with using a wild card. So when they want the month and or year to populate automatically, they add ^Y or ^M. But if they want it to be the previous year or previous month, they check that box. Also remember that it is based off of the project due date.

>Can I bulk reassign all outstanding project related tasks from one user to another user I would want to do this if there was a change of employee or to cover work when someone is temporarily out of the office.

Yes, this can be done:

>projects you set to repeat - there is currently no way to tell it when to create the future project. As soon as you complete the current project it automatically creates the next one.

>If I delete a project, what impact, if any, will that have on time records that were posted to an engagment and assigned to that project?

Before the project is delete, if I were to open up the time sheet entry for the client, it would show the project and the task that the time is associated with. After I delete the project, if I go to that client, I can still pull up the time sheet entry and it shows the time I did, however it no longer displays the project or the task for that time.

>Can we run reports on PM?

The dashboard is your report.

There is a pdf button too right to export to pdf - that is your report

>How to show budgeting for projects?

You have to enable budgeting in PM settings, then set up budgets within the client, then you can adjust on the project side

>What are repeat projects used for?

Repeat trainings essentially are used for situations where a project would be created on a yearly basis (or any of the other repeat options). Basically when the first project that is created moves to completed status, another project is created and the due date of that newly created project is a year out from the previous due date (and carries over all other information from that project)

>So when I create a monthly accounting project for clients today will it create the same time next month. Where do we set the in date or what is called the in date.

Per George Gamatos on 11-16-22, next project is only created when the previous project is completed - the ability to control when the next project is created is coming

>I need help assigning a project to a client

Please see the details below on creating a project from a template for multiple clients.

Within the Project Management tab, click on PM Settings (upper right-hand corner).

From there you will have the ability to select the template you would like to use when creating your projects and then select Duplicate to Clients.

You will then see all of your Project and Task information populate on the left-hand side. You can make any edits or changes you need to at this point to this information.

Then select all clients from the client list on the right-hand side that you would like to create the project for.

Once you have completed selecting all the clients, you can select Clone Project.

This will create a project from the Accounting Monthly template for all clients selected.

Is Project Management included in Mango as a default?

No. There are 3 different packages. Solo-T&B Only, Plus-T&B and P Mgmt, Pro -T&B, P Mgmt and Portal

Updated project templates are not retroactive

When an existing project template is updated, it doesn't update any active projects that are currently using that template. In other words, it is not retroactive. It will only apply that updated template to any new projects going forward.

How to see 'Engagement' show up in the column selector for Project/Tasks Lists

You will not be able to select 'Engagement' as a columnar heading for Project Tasks>Project unless you have turned on the flag in PM Settings>Budgets>Enable Project Budgets

<Are both billing partner and manager notified when something is ready for review

Both have it in their ready for review on the dashboard - so technically both are notified and they both have the ability to approve. Notifications in project management can't be staff specific, it is all done in pm settings and it is a global setting.

>Projects/Tasks List- Using the Search box does stick if you leave the screen and come back to it.

>The up and down arrows sort function does not stick and there is a feature request in for this functionality

>Adding time to a project

There are 2 ways to do this: 1- PM Settings >Budgets>Enable Track Time by Projects and then Project/Tasks list> select the project and you will directed to another screen. Then, you will click the box to the left of the screen to click in the project. Once you are in the screen that shows the list of tasks you will see "More Options" and use the dropdown menu and select + time. There will be a pop up box that you will add time there for a time sheet entry or you can click on the green timer to the right of a task row to use a timer.

2-PM Settings >Budgets>Enable Track Time by Projects, and then using a time sheet entry, you will see the yellow highlited which will add the time to the project you select.

>Is there a report to track time by project?

The development team is in the process of developing a report to track the time by projects. In the meantime, Refer customer to the Client>Budget tutorial video. There is no other way to do that unless you go and put the time spent on each task in the memo field. But it would all have to be done manually. Any further questions, go to Courtney

>Customer says her staff is not getting email notifications when they have tasks assigned to them.

>The search and sort doesn’t “stick” on the “Projects” tab either. If you click to open a client or project, then go back, the previous sort is gone.

The search does stick but the sort does not stick

> Do NOT complete a project that doesn't have any tasks completed as it can cause all kinds of problems.

No, not at this time.

>I am not getting email notifications from Notes in PM

Find out the name of the project and then pull up that project and make sure they have turned on the flag for email notifications under More Options >Notes. Also make sure they check their spam/junk folder and have whitelisted the email domain.

Per Tim on 6-7-23: there is no way to batch add a task to projects. very complex.
