How To: Manage Bookings

Manage bookings, invite students to book, manual bookings, matching bookings, remove bookings.

All students that have been invited to book or have booked into class will be listed with an assigned Status.

  • Booked In: They have a confirmed booking, either by booking themselves using the Bookings Widget, Student Portal, by invitation, or they have been booked in manually.

  • Invited: They have been invited to book in by email, and you are awaiting a response.

  • Declined: Student has declined the invitation to book into class.

Click on Invite Students to email students a link to book in, or Book Students to manually book them into a class.

Bookings made by invitation, via the Student Portal or have been booked in manually will be automatically matched to the student's profile. Bookings made from the Website Widget will automatically match if the first name, last name and email are a 100% match with an Active Student in your Martialytics account.

If a booking is made using the Website Widget and their details do not match 100% to an active student profile, then they will be added as a new lead in the Leads CRM and tagged as a Lead in the Rank column of the calendar event.

If the person booking is an active student at your school, you will need to unmatch their booking from the lead card and then match them to their active profile. Click on the three dots and search your student list for the correct student.

If the person is a trial student or a new student, you have two options:

  1. Leave them as a lead in the Leads CRM. You can use the notes section of their leads card down to track classes they have attended. If they sign on as an active student, you can promote them from the Leads CRM to carry over all their information, including card details and signed waivers, to their active profile. Note: That if you want the trialist to be able to book into class using Kiosk Mode, they will need to be added as an active student.

  2. Create a new active student profile. Click on the three dots and select Create New.

Cancel bookings by clicking on the three dots and selecting Remove Booking.
