Custom columns allow you to adapt the Kanban board to your organization and working method, both for recruitment tracking (ATS) and prospecting (CRM).
⚙️ Prerequisites – Where to Configure Columns?
To access the settings:
Click on the account owner's name at the top right.
Go to Configuration.
Click on Custom columns.
At the top of the page, choose the ATS or CRM section.
⚠️ All changes made apply to all users in the workspace.
1. ATS Section
The ATS process is divided into 3 main parts, each containing several customizable columns:
Before presenting the candidate to the client: your internal process
During the client's recruitment process: your clients' process
After the candidate starts the position: for monitoring the probationary period
The sequence of steps is chronological. Each column corresponds to a stage in the candidate's journey.
🔧 Additional Settings (ATS)
Several global options can be enabled:
Show the most recently moved processes at the top of a column: the candidate with the most recent action will appear at the top of the column.
Require a user to indicate a reason when marking as failed: when you mark a candidate as failed, you will be required to fill in a box with the reason for the failure.
Send an automatic email when a candidate is marked as failed: when you mark a candidate as failed, an email sending window will open on the right side of your screen, allowing you to send an email to each failed candidate.
Display candidates on processes by default.
Enable next interview and presentation dates: option to display interview and client presentation dates on the candidate card.
Display the recruitment validation window: when a recruitment is completed, a window will open with the recruitment details to fill in (recruitment date, start date, salary, revenue).
Display recruitment amounts on the pipeline: the recruitment amounts will be displayed at the bottom of the dedicated column.
These settings allow you to adapt the Kanban to your organization.
⚙️ Individual Column Settings (ATS)
For each column, you can:
Rename the stage
Add or delete a column
Reorder the stages using the 6 small dots on the left (drag and drop)
Enable internal notifications (received directly via the bell icon in Marvin at the end of the stage)
Enable a suggested email to be sent at the end of the stage
⚠️ Note: the first two columns follow the software's logic and must not be deleted:
Applications: where incoming applications arrive (this column is invisible in the Kanban but exists virtually).
Selection: where applications arrive once accepted, or manually created processes.
Where Is This Kanban Found?
The configured columns appear in:
Projects → My processes: all candidate cards across all projects. A candidate will only appear once in this Kanban. If they are in multiple processes, they will be shown in the most advanced column. Example: Mr. Martin is in a process with Company A at "1st interview" status and also in a process with Company B at "2nd interview" status — he will appear in the "2nd interview" column.
Projects → Select a specific project → Process: all candidates in process for a given project.
2. CRM Section
The CRM section has a single section: your prospecting process.
This Kanban is accessible via: Companies → Prospecting.
The operation is similar (you can rename, add, delete and reorder columns using the 6 dots on the left).
However, settings are more limited: only internal notifications can be enabled (no email automation or advanced options as in ATS).
