How to Filter Candidates Who Have Been or Are Currently in a Process?

Want to quickly find candidates who are currently in a process or have already been through one — or on the contrary those who never have? Here's how to do it with the tools available in Marvin.

Finding Candidates Currently in a Process

The most direct way is to use the Process view in your projects.

  1. Go to the Projects tab.

  2. Click on My processes to see all your candidates currently in a process, across all projects.

  3. You can filter by user, team or process stage to refine your search.

Finding Candidates In or Who Have Already Been in a Process

From the candidate database:

  1. Go to the Candidates tab.

  2. Open the advanced filters.

  3. In the Options section, check the "With processes" box.

  4. Additional fields then appear to refine your search:

    • Specify companies: filter by client company

    • Specify opportunities: filter by project/assignment

    • Specify the source: filter by candidate origin

⚠️ This filter returns all candidates who have a process, whether ongoing or completed. It is not yet possible to distinguish between the two natively.

💡 You can combine this filter with other criteria (job title, location, skills) to quickly find already-qualified profiles on similar assignments.

Identifying Candidates Who Have Never Been in a Process

There is no native "without process" filter in Marvin yet. In the meantime, here are two workarounds:

Via lists: if you regularly group your candidates into thematic lists, you can identify those who have never been linked to a project.

Via combined search: use the advanced filters to search for candidates by date of last contact or recent activity, which can help you spot inactive or never-contacted profiles.

💡 If this is a recurring need in your organization, feel free to let us know via the chatbot — this is a feature we are considering adding!

Finding Candidates from Past Assignments for a New One

This is one of the most frequent use cases: you have a new assignment and want to reuse candidates sourced or qualified during previous ones.

  1. From the Candidates tab, search using the job criteria of your new assignment.

  2. Add the "With processes" filter to see if these candidates have already been in a process, and refine by company or opportunity if needed.

  3. Candidates who reached advanced stages (agency interview, client presentation) are top priorities to re-contact.

  4. Add them directly to the pre-selection of your new project from the search results.

Key Takeaways

  • The My processes view gives a global overview of all candidates currently in a process.

  • The "With processes" filter in the advanced filters returns all profiles with a process, whether ongoing or completed.

  • There is no native "without process" filter yet — use the date of last contact as an alternative.
