Marvin Recruiter Glossary : Key Terms of the Platform

New to Marvin Recruiter or coming across unfamiliar terms? This glossary covers the essential concepts of the platform, listed in alphabetical order.

🗂️ ATS

The ATS (Applicant Tracking System) is the candidate management module in Marvin. It is the space where you track your candidates throughout your recruitments: talent pool, process, received applications.

Not to be confused with the CRM, which manages contacts and companies.


📋 Application

An application is a profile received inbound — meaning a candidate who applied on their own to one of your job postings published on a jobboard.

Applications are centralised in the Applications tab of each project, and can then be added to the pre-selection or directly into the process.

💡 Not to be confused with candidates sourced manually (via LinkedIn or your database), who land in the pre-selection.


📣 Campaign

A campaign is an automated outreach sequence that allows you to contact candidates or prospects via LinkedIn, email or WhatsApp, following a predefined chain of actions and delays.

Campaigns can be linked to a specific project or to a company, and are accessible from the Campaign tab of a project or from the Company tab.


👤 Contact

A Contact is a person on the company side managed in Marvin's CRM — a client contact, an HR manager, a hiring manager, etc. They can be linked to one or more companies.


👥 CRM

The CRM (Customer Relationship Management) is the company relationship management module in Marvin. It brings together your contacts (client-side interlocutors) and your companies.

💡 In Marvin, the ATS and CRM are two distinct but complementary spaces: the ATS for your candidates, the CRM for your clients and contacts.


❌ Failed

Failed is the status assigned to a candidate when their recruitment process ends without success, for whatever reason (candidate not selected, withdrawal, position cancelled…).

A candidate marked as failed remains in the project history and can be found in the process using the corresponding filter.


🔧 Extension

The extension refers to the Marvin Recruiter Chrome extension, to be installed on your browser. It allows you to add candidates directly from LinkedIn, connect your LinkedIn account, and interact with Marvin without leaving your browsing session.


🌐 Jobboard

A jobboard is a job posting platform on which Marvin can publish your listings. Examples: Indeed, APEC, Hellowork, LinkedIn, MétéoJob, Staffsanté…


🟢 Job open / 🔴 Job closed

A job open is a project whose recruitment is active. It is an essential prerequisite to be able to broadcast a job posting on jobboards.

A job closed is a project whose recruitment is finished or on hold. It can no longer be broadcast, but remains accessible in your history.

💡 You can switch between the two statuses at any time using the "Job open / Job closed" button at the top right of your project.


📋 List

A list is a manual grouping of candidates or contacts that you build freely, independently of projects. Useful for organising a cross-project talent pool, preparing a follow-up, or sharing a selection with a colleague.


🌐 Multi-posting

Multi-posting is the feature that allows you to publish a job listing on several jobboards simultaneously from Marvin, without having to log into each platform separately.

It is accessible from the Multi-posting tab of each project.


📍 Multi-location

Multi-location allows you to associate several geographical locations with a single project. Useful for a position open in multiple cities or regions at the same time.


☑️ Multi-selection

Multi-selection allows you to select several candidates at the same time in the process or pre-selection, in order to apply a bulk action in one click: send an email, move to the next step, mark as failed, add to a list…

It is activated via the Select button at the top left of the process.


📝 Note

A note is an internal comment you can write on a candidate, contact or company profile. Notes are visible to members of your organisation who have access to the relevant profile.


📌 Pipeline step

A pipeline step is a column in the process pipeline representing a phase of the recruitment (e.g. Pre-qualification, HR Interview, Technical Interview, Offer…).

Steps are customisable from Configuration → Custom columns → ATS.


🔍 Pre-selection / Talent pool

The pre-selection (also called talent pool) is the space dedicated to managing your candidates within a project, before they even enter the recruitment process.

It is structured into several categories:

  • To process: newly added candidates, awaiting evaluation or decision

  • Favourites: profiles you consider particularly relevant for the position

  • Excluded: candidates set aside, kept for a clear history

  • In process: candidates who have entered the pipeline — they automatically leave the pre-selection


🔄 Process

The Process is the recruitment tracking pipeline, displayed in Kanban view. It contains only candidates currently in recruitment for a given project, tracked step by step.

A candidate's status in the process follows this order:

An offer has been submitted

The process ended without success


📁 Project

A Project is the heart of your recruitment activity in Marvin. It represents an open mission for a given position, linked to a company.

Each project brings together in one place:

  • The overview (position details, notes)

  • Multi-posting (publishing on jobboards)

  • Applications received

  • The pre-selection (your talent pool)

  • The associated campaign

  • The recruitment process (Kanban pipeline)


⏰ Reminder

A reminder is a scheduled task on a profile (candidate, contact or company) to alert you on a given date — for example: "Follow up with this candidate in 2 weeks" or "Call this client on Monday morning".


🏷️ Tag

A tag is a label applied to a candidate to qualify their profile. There are two types in Marvin:

  • Skills: technical or functional know-how (e.g. JavaScript, Project management)

  • Job categories: professional categories (e.g. Developer, Sales)

Tags allow you to filter and search efficiently within your candidate database.


📄 Template

A template is a reusable email or note model that you can prepare in advance and use when communicating with candidates or clients. Templates can include dynamic variables for automatic personalisation.


{{ }} Variable

A variable is a dynamic field inserted into a template that is automatically replaced by a real value when sent — for example {{first name}}, {{position}}, {{company}}.

This allows you to send personalised messages at scale without rewriting them one by one.
