When a vendor owes you money back for an item you've purchased, they may offer you a refund, or credit that you can apply to your next purchase with them. You will only want to use one option at a time in Materio, a refund or credit. Here is how you can utilize either option.
Option one: receiving and recording a cash refund from a vendor
When a vendor gives you money back for the item you ordered, you'll leave the original PO recorded alone since that is the historical record.
Then, go to the Project β Finances β Expenses, and enter the information for the refund by uploading any documentation, naming it, choosing a payment method, date, vendor, amount, and any tax, and selecting the Refund checkbox. You'll want to align the refund to the scope item so the financials in the performance tab are accurate.
Then, when you go to that line item in your performance tab, you'll see that the refund has been applied to your committed expenditure for that item.
Option 2: using a credit from a vendor for a new PO.
If a vendor offers you credit to spend with them instead of a cash refund, you'll apply that credit as an order-level discount on a PO with that same vendor, and make a note in the note's field that the credit was given as a refund for a different item. Do not record a refund in addition to using the order level discount, as that would be a redundant refund.
