Learn how to pass on pricing changes to your client directly from within a Purchase Order

Accessing the feature

Materio allows you to update client pricing directly from within a purchase order. To access this feature, click the "Client pricing" button inside of any purchase order:

Using the feature

Materio suggests new pricing for each item based on the actual costs on your purchase order. All changes are highlighted in yellow. Use the "Absorb", "Pass on", or "Edit" buttons to custom-tailor your client pricing:

  • Absorb keeps client pricing stable, incorporating changes into your profit margin rather than passing them on to the client.

  • Pass on updates the client pricing by accepting Materio's suggestion as-is.

  • Edit lets you manually adjust the client pricing at your own discretion.

If your order has multiple different items on it, Materio shows you one item at a time. You can flip through the items using the "Previous" and "Next" buttons. Changes are only saved if you click "Save and next."

If your order only has a single item on it, or if you are on the last item, you will not need to flip through the items, so your buttons may be simplified to look like this:

Heads up!

There are several caveats and limitations to watch out for when using this feature. Please carefully review the below points so you know what to expect.

Where pricing updates appear

Updated pricing appears in your scope of work, and affects what your client sees. Pricing updates work differently depending on your item:

  • Regular scope item (no approved selection): the pricing will update directly on the item estimate. The original estimate will be replaced with the new pricing.

  • Approved selection: the pricing will update on the approved selection, but the original item-level estimate will remain unchanged.

In either case, you can see the history of pricing changes either in your project activity feed or by opening an individual scope item and clicking the "See history" button.

No Change Orders

This feature is intended for firms who have already pre-negotiated variable pricing with their client, and who therefore do not need change orders for client approval on pricing changes. Putting your project into "Live" status disables this tool, since all pricing changes would require change orders for client approval.

Shipping Charges

Materio automatically splits shipping charges across all of the items on a purchase order, weighted by each item's cost. Shipping tax is always assumed to be 0%.

For instance, if your order has two items plus some shipping charges:

Item 1: $250 (25% of subtotal)

Item 2: $750 (75% of subtotal)

-------------------------

Subtotal: $1000

Shipping: $100

Then Materio will suggest splitting the shipping charge like this:

Item 1: $25 (25% of shipping charge)

Item 2: $75 (75% of shipping charge)

Tax Paid to Vendor

Materio assumes that purchase order tax comes evenly from every item on the order, excluding shipping (shipping tax is always assumed to be 0%).

Other Item Cost Parts Not Shown

Materio only suggests new pricing for things that actually appear on the purchase order.

For instance, if your current client pricing includes material, shipping, and labor, but your purchase order only includes material and shipping, Materio assumes you are handling labor elsewhere, and only offers to update client pricing for material and shipping. In this case, you'll see a message like this about labor:

Quantities and Units

Materio does not take into account exact quantities and units when suggesting updating pricing. Make sure that the quantities and units on your purchase order match your scope of work. If you have mismatched quantities or units, it may be better to make updates directly in the scope of work rather than using this feature.

Multiple Spending Lines for One Item

If your purchase order has more than one line of the same type for one item (for instance, more than one material charge for the same item), Materio chooses the first line when suggesting updated pricing. Be careful when reviewing Materio's suggestions; you may need to make your own judgments and manual adjustments to maintain accurate pricing.

Multiple Orders or Expenses for One Item

This price updating feature works one purchase order at a time. Materio ignores other purchase orders and expenses, even if they also spend towards some of the same items. Be careful when reviewing Materio's suggestions if you have multiple purchase orders or expenses contributing towards the cost of a single item.
