How to resolve the "Materio lost access to your Quickbooks Online account" warning message

When using Materio's QuickBooks integration, you may run into the warning message: "This sync was cut off because Materio lost access to your Quickbooks Online account."

What the Warning Means

This warning message means that something changed QuickBooks-side which cut off Materio's access to your QuickBooks Online account. This could happen if you:

  • Deleted the QuickBooks user who originally connected QuickBooks to Materio.

  • Removed permissions from the QuickBooks user who originally connected QuickBooks to Materio.

  • Disconnected the Materio integration QuickBooks-side without being logged into Materio at the time.

  • Went more than three months at a time without syncing anything to QuickBooks.

Without proper access to your QuickBooks Online account, Materio's QuickBooks integration cannot function.

Resolving the Warning

To resolve the warning, someone with admin access to both Materio and QuickBooks should follow the below steps. This process takes around five minutes and will repair your connection while leaving your existing account mapping and other settings alone.

  1. Log in to both Materio and QuickBooks Online in the same browser.

  2. Navigate to the QuickBooks Integration Page in Materio.

  3. Find this warning banner at the top of the page (it may take a few seconds to appear):

4. Click on the link that says "click to repair the connection." This will take you to QuickBooks temporarily. Follow all the instructions you see on the screen.

5. Once you are done in QuickBooks, you'll be taken back to Materio. That's it!

Note: You'll need admin-level access to both Materio and QuickBooks Online in order to complete the above steps. If you don't have that level of access, find a company admin or accountant who does.

Avoiding the warning in the future

To avoid this warning in the future, you can take these steps:

  1. Be cognizant of which user originally connected Materio to QuickBooks.

    1. Take care not to delete or change their permissions QuickBooks-side.

    2. If you do delete them or downgrade their permissions QuickBooks-side, come back to Materio right away and follow the above steps to avoid interruptions.

  2. If you need to disconnect the integration, always do so from within Materio rather than from within QuickBooks.
