Introduction
Work orders are an integral part of the maintenance software and play an important role in the management of maintenance activities. All maintenance tasks are controlled by means of work orders. This can be planned maintenance, but also unexpected work, for example when a fault needs to be resolved.
A work order is always linked to an object. This ensures that a maintenance history is built up for each object. This also provides insight into the operational costs.
The concept of work orders is flexible and offers users the possibility to schedule maintenance activities both manually and automatically.
Work orders can be created and modified in various ways, both in the desktop version of McMain and via the Digital Technician mobile app. This makes it possible to manage work orders not only from a desktop, but also on site.
This page explains how work orders are created and processed. Attention is paid to the various statuses, among other things.
List View Work Orders
In the list screen 'Work orders' all work orders can be viewed. The information about the work orders is shown in different columns, for example WO number, Description, Status, Execution date, Employee, etc.
It is possible to choose which columns are shown and in which order they should be. By clicking on the button 'Adjust columns' (top right of the screen) a dialog box is opened in which all column names are shown. These can be dragged with the mouse to the field 'Selected columns'. The order can also be adjusted by dragging. After clicking on 'Save', the selected columns are immediately visible on the screen. This column selection and order is personal and can be set by each user as desired.
Navigation
Using the drop-down field at the bottom right of the screen, you can set how many work orders are shown per page. You can choose between 10, 20, 25, 50 and 100 work orders. Additionally, the arrow buttons can be used to navigate between pages of work orders.
Filtering
The default filtering shows work orders with the following status:
In Preparation
Prepared
Issued
In addition, the filter 'Only show my work orders' is also active.
This filter ensures that only work orders that meet one of the following conditions are shown:
Work order is assigned to you
Work order has no coordinator group
Work order is linked to your coordinator group
Are you not assigend te a coordinator group yourself? Then all work orders are visible for you.
There are several ways to filter the list of work orders. Click on the 'Filter' button to open the dialog box with all filters.

Search box
At the top left of the screen is the search field. Here you can enter a search term to find a specific work order (or list of work orders). Here you can search by WO number, Description, Object number, Object description, Employee, Department and Coordinator group.
Creating a new Work Order
By clicking on the orange 'plus' button, at the bottom right of the screen, a new work order can be created.
When the button is clicked, three different options can be chosen. By clicking on 'Fault', a fault work order can be created. When 'Corrective' is clicked, a regular work order will be created.
In addition, 'Preventive' can also be chosen. This creates a maintenance model and immediately generates the first work order. Click on Maintenance in the menu and then on Preventive maintenance to view all maintenance models.
Button bar
At the top right of the list screen are several buttons. Below is an explanation of the function of each button. Depending on certain configuration settings, certain buttons may or may not be visible.

Duplicate | This button becomes active when the checkbox is checked for one corrective work order. Clicking the button opens a dialog box for creating a new work order. Certain data of the selected corrective work order is filled in. In this way, a similar work order can be created quickly. | |
Complete | The button becomes active when one or more checkboxes are checked for work orders with the status Issued. This/these work order(s) can then be reported as completed simultaneously. | |
Cancel | The button becomes active when one or more checkboxes are checked for work orders with the status Issued. This/these work order(s) can then be cancelled simultaneously. | |
Put on hold | The button becomes active when one or more checkboxes are checked for work orders with the status In preparation, Prepared or Issued are selected. This/these work order(s) can then be put on hold simultaneously. | |
Assign | The button becomes active when one or more checkboxes are checked for work orders with the status In preparation, Prepared or Issued are selected. This/these work order(s) can then be issued simultaneously. A dialog box will appear in which an (executing) employee and an execution date can be selected for each work order. | |
Export | By clicking this button, an Excel file is downloaded containing all work orders currently displayed based on the applied filters. You can choose between an XLS or XLSX file.. | |

Show/hide preview window | This button shows or hides the preview window. The preview window is automatically displayed when a work order is clicked. |
