Asset detail view

Understanding the structure and functions of the Asset Detail View.

Assets are a central component of McMain Online's maintenance software. Each asset within McMain represents a specific physical item, such as a machine, device, installation, or other maintenance-related item. A detailed maintenance history can be kept for each asset, providing insights into operational costs and performance.

Maintenance models and work orders are always linked to an asset. This creates a history for each asset over time, making it possible to plan (better) preventive maintenance. This way, downtime is minimized, costs are reduced, and maintenance can be performed more efficiently.


Detail view

From the 'Assets' list view, the detail view can be opened to view an individual asset. This can be done either by double-clicking on an asset, or by clicking on the button "More details" in the preview window. The detail screen shows an overview of all data of the asset.

Depending on the type of work order (corrective, preventive or malfunction) different fields are displayed on the detail screen.

Labels

The 'Edit Labels' button allows you to add and remove labels.

Click the 'Add Label' button to choose a label from the drop-down list.

As can be seen above, a comment can also be entered for each label. This comment will be visible when hovering the mouse pointer over the label.

Input and selection fields

Below is an overview of the different fields that can be displayed on the asset detail view. Some fields may not be visible, depending on your settings.

An asset can be part of another asset; a so called 'parent'. In this field the parent asset can be selected. In the asset tree this hierarchy will be visible.

With the Reporter App, a QR code containing the asset number, links to the asset. A code entered this field will also link to the asset. This way, a separate code (in addition to the asset number) can be provided and used to create calls.

When this box is checked, every work order that is linked to this asset will have to be signed off on before it can be completed.

Button bar

At the top right of the list screen are several buttons. Below is an explanation of the function of each button. Depending on certain configuration settings and the status of the asset, certain buttons may or may not be visible.

Locate in asset tree

This button can be used to navigate to this asset in the asset tree. This way, you can quickly locate and focus on the selected asset within its hierarchical context in the asset tree.

Recode

With this button, the asset number can be changed. This may be necessary, for example, when the parent asset is modified, causing the asset number to become incorrect.

Get QR code

Creates a report with the QR code of the asset number. This QR code can be scanned, for example, with the McMain Reporter App when creating a call.

Reports

Shows a list of reports,.

this button will present you with the following options:

  • Create a breakdown

  • Create a work order

  • Create preventative maintenance

  • Create call

More options...

Clicking this button opens a menu with additional options. The possible options are described below.

  • Copy parts list

  • Deactivate

Copy parts list

By clicking this button, the spare parts list can be copied to another asset.

Deactivate

When an asset is no longer in use, you can change deactivate the asset.

All underlying Assets will also be deactivated.

Employees linked to this Asset and underlying Assets will be unlinked.

Tabs

At the bottom of the page, there are several tabs where specific information about the asset can be found.

Asset specifications

In this tab, specific information about an asset can be entered. The fields in this tab are determined by the chosen asset type. Fields can be added or deleted on the asset type detail page. (Source data > Asset types > Asset Specifications tab)

Logbook

In the logbook, messages can be added by clicking on the orange button. These messages can be used to add all kinds of relevant information to the asset.

Automatic entries are also created, for example when:

  • the status of the asset is changed

  • the asset has been moved in the asset tree

  • changes have been made via bulk mutation

Preventive Maintenance

This tab shows:

  • maintenance models that are linked to the asset

  • maintenance models that are linked to underlying assets

In addition, maintenance models that include assets as part of the procedure (linked through the inspection list) are also displayed.

Spare parts

A list of spare parts (items) can be added to the asset. This provides the user with an overview of the items that may be needed for repairing and maintaining the asset. Additionally, because the current stock levels of every item are shown, users can quickly assess whether the necessary components are available for repairs or maintenance.

Tools

An asset type can be marked as 'Tool', meaning that all assets that are assigned this type are considered tools. These assets can then be added in this tab. This feature can, for example, be used to specify specialized tools required for certain repairs of the asset.

Costs

This tab provides an overview of all the costs associated associated with work orders linked to this asset, as well as all underlying assets. The costs are subdivided into four different catergories.

Material cost

The total cost of all materials.

Hour cost

The total cost of all labour hours (hours booked, multiplied by the standard rate of the employee).

External costs

The total cost of all incoming invoices.

Other costs

The total of all costs manually entered in the "Other costs" field on the "Costs" tab of work orders.

History

Shows all work orders associated with the asset. The default filtering only shows work orders in the status 'Complete', 'Closed', and 'Cancelled'. By adjusting the filter, work orders with other statuses can also be viewed.

Documents

Shows all documents that are linked to the asset. By clicking the orange button with the paperclip, other documents can be added to the list.

There are three options for adding documents.

  • Link existing document

  • Upload new document

  • Add new hyperlink

Visibility of the two last options is dependent on configuration options:

  • DO003 - Disable uploading local documents

  • DO002 - Use hyperlinks for linking documents

Media

Shows all media that is linked to the asset. By clicking the orange button , other documents can be added to the list.

Among others, the following media types can be added:

  • JPG/JPEG

  • PNG

  • GIF

  • MP4

  • MOV

  • BMP
