Raise a Concern

Report, acknowledge and manage safety or security concerns using the Custr Dashboard and Custr Companion.

Overview

Raise a Concern allows logged-in employees to quickly report anything they believe may present a safety or security concern.

This could include:

  • Unusual or suspicious activity

  • An unknown person on site

  • A potential safety issue

  • Something that does not appear right

Concerns can be raised from the Custr Dashboard or Custr Companion.

Once raised, employees with the appropriate Concerns Alerts permission are notified and can review, acknowledge, comment on and close the concern.


Who Can Raise a Concern?

Any logged-in employee can raise a concern.

They do not need the Concerns Alerts permission to create one.

Concerns can be raised from:

  • Custr Dashboard

  • Custr Companion

Concerns cannot currently be raised from the Reception Kiosk.

A concern is always linked to the logged-in employee who raised it and cannot be submitted anonymously.


Accessing Safety Concerns

From the Custr Dashboard

Open Safety Concerns from the Dashboard.

From here, you can:

  • View existing concerns

  • Search concerns

  • Filter between open and closed concerns

  • Sort concerns by date

  • View the current status

  • See who reported the concern

  • View the number of comments

  • Raise a new concern

Select New Concern to create one.


From Custr Companion

Open Safety Concerns within Custr Companion.

From here, you can:

  • View existing concerns

  • Search concerns

  • Filter concerns

  • Sort by date

  • Open a concern to view more information

  • Raise a new concern

  • Select the + button to create a new concern.


Raising a New Concern

When creating a concern, enter:

Title

Enter a short and clear summary of the concern.

For example: Unknown person on the playing field

Description

Provide enough information for other employees to understand what you have seen or what has happened.

Include any relevant information such as:

  • Where the concern is

  • What you have observed

  • Who may be involved

  • Any other information that could help someone respond

Once the information has been entered, select Create Concern.

The concern will immediately appear within Safety Concerns.


What Happens When a Concern Is Raised?

When a new concern is created:

  • The concern is recorded in Custr

  • The logged-in employee is recorded as Reported By

  • The date and time are recorded

  • The concern starts with a Pending status

  • Employees with the Concerns Alerts permission are notified

  • Those employees can then open and respond to the concern

Notifications are sent by:

  • Email

  • Custr Companion notification


Concern Statuses

Concerns move through three main stages:

Pending

The concern has been raised but has not yet been acknowledged.

Acknowledged

Someone with the appropriate permission has acknowledged the concern.

Only one authorised employee needs to acknowledge it for the concern to move into the Acknowledged status.

Acknowledging a concern does not close it. It shows that the concern has been seen and is being dealt with.

Closed

The concern has been completed and no further action or discussion is currently required.

Once closed:

  • The concern remains available for reference

  • New comments can no longer be added

  • The concern can be reopened if further action is required


Acknowledging a Concern

Employees with the Concerns Alerts permission can acknowledge a concern.

Open the concern and select Acknowledge This Concern.

Once acknowledged, the status changes from Pending to Acknowledged.

Only one employee needs to acknowledge the concern.


Adding Comments

Authorised employees can use comments to share information and updates while a concern is open.

Open the concern, enter your message in the comment field and select Post Comment.

Comments can be used to record:

  • Updates

  • Actions taken

  • Additional information

  • Relevant observations

Comments can be added while a concern is Pending or Acknowledged.

Once a concern is closed, new comments can no longer be added.


Closing a Concern

Once the concern has been dealt with, an authorised employee can select Close This Concern.

The concern will move into the Closed status.

Closing the concern prevents any further comments from being added.

If further action is later required, the concern can be reopened.


Reopening a Concern

A closed concern can be reopened if further information becomes available or additional action is required.

Once reopened, it can continue to be managed in the same way as other open concerns.



Concerns Alerts Permission

The Concerns Alerts permission controls who is notified and who can manage concerns after they have been raised.

Users with Concerns Alerts enabled can:

  • Receive an email when a concern is raised

  • Receive a Custr Companion notification

  • Acknowledge concerns

  • Add comments

  • Close concerns

  • Delete concerns

Users without this permission can still raise a concern, but cannot acknowledge or close concerns.

Administrators can manage this permission through:

Locate Concerns Alerts and enable it for the roles that should receive and manage Safety Concerns.



Searching and Filtering Concerns

The Safety Concerns screen can be used to find previous or active concerns.

You can:

  • Search by concern title, description or author

  • Filter by status

  • Sort by date

  • View the person who reported the concern

  • View the date and time it was raised

  • View the number of comments

This makes it easier to review both current and previous Safety Concerns.



Deleting a Concern

Users with the appropriate Concerns Alerts permission can delete a concern where necessary.

Deleting should only be used where the concern record itself is no longer required.



Availability

Raise a Concern is available through:

  • Custr Dashboard

  • Custr Companion

It is not currently available from the Reception Kiosk.

The feature is available to applicable Custr Check-In customers, excluding Business customers.
