Offline payments capture funds that arrive outside of Velocity, such as a check, wire, ACH, or cash, and post them as balance. You can record an offline payment against either a customer or an organization, depending on where the funds are coming from.
Recording an offline payment never charges a card or bank account. It is a bookkeeping entry only.
On a Customer
Open the customer detail page, select Invoicing, open the Payments sub-tab, and choose Record Payment…. Enter the amount and a description that identifies the origin of the payment (for example, the check number or sender). The amount is added to the customer's unapplied balance, where it can be used to pay down terms orders.
On an Organization
Open the organization detail page, select Invoicing, open the Payments sub-tab, and choose Record Payment…. The flow is identical to the customer version, but the funds land on the Organization Balance rather than on a specific customer. You can then spend that balance against any member customer's terms orders, either one at a time from the order's Payment action or in bulk from Pay for Terms Orders.
Recording an offline payment on the organization is the right move when a single check is meant to cover invoices across multiple member customers, or when the payer is the org itself rather than any individual customer.
