Adding exhibitors to the Exhibitors module

You can add exhibitors present at your event to the Exhibitors module in two ways. Individually through the admin panel (learn more about adding exhibitors in the Exhibitors article) or by importing all exhibitors using a bulk file. This article describes how to properly create a file with data of all exhibitors and how to import it to your event.

How to save the data for import?

Data for import should be saved in a file with a csv format extension. Excel, Numbers (an app for iOS users) and Google Document Spreadsheets allow you to export to this extension.

Before exporting the data, make sure that the file saves in the Unicode UTF-8 encoding system. In case the file saves in a different encoding system and pops up an error when importing it in the panel, do the file conversion in a free online tool.

Importing exhibitors

Want to import exhibitor data into the admin panel, go to the Exhibitors module in the Create tab and click the cloud icon with the up arrow in the upper right corner:

Then, through the Template XLSX or Template CSV button, download the ready-made template in the extension of your choice:

NOTE!

If you download the template in xlsx format, remember to convert it to csv format before uploading.

You can also prepare a file yourself with csv format extension , which will contain the following columns: uuid, name, vip, scope, description, website, email, phone, facebook, linkedin, twitter, youtube, instagram, logo_url. These columns should be in the order listed above. None of the columns can be omitted from the file. In addition, the columns must be set in the above-mentioned order. Otherwise, the import will not complete successfully. If you do not want to fill in all the columns, you should leave the column name in the file without filling in the cells below. The only mandatory columns are uuid and issuer - name.

NOTE!

Note that there is no column for exhibitor photos in the template. If you want exhibitors at your event to have their logos assigned to them, add them in the admin panel by editing the exhibitor profile.

Entering data for importing exhibitors

uuid - this is the exhibitor identification number. It should be assigned to each exhibitor individually. It can consist of a combination of numbers and numbers, but we recommend that it should be numbers sequentially from 1 to infinity.

vip – if you want to give the exhibitor's profile VIP status, then in this column put the value: 1. This designation entails the ability to display the profile at the top of the list of exhibitors, along with a clear graphic distinction, which can be added in the panel. Leaving the cells in this column unfilled means defaulting to 0 and no VIP designation in the exhibitor profile.

phone – company phone number, this is an optional field. When completing it, remember that the number should be entered without spaces, otherwise it will not be displayed in the application, this also applies to numbers with the area code. When entering such a number, omit the "+" sign. Examples: 222333444, 48999888777.

NOTE!

Links to social media such as: Facebook, Linkedin, Twitter, YouTube or Instagram should start with "https://". Omitting these characters will result, in the user not being transferred to the landing page. Example of a link: https://www.linkedin.com/in/nazwa-profilu-użytkownika

If you already have a csv format file ready for import, click the Select File button and upload the previously prepared document. Then click Import and all the speakers will be uploaded to the system:

Adding language layers during import

Translating exhibitor profiles into other languages is only possible when language layers have been added to the event when completing the Basic Info section.

If you want to import another language layer in the Exhibitors module, you need to prepare a new csv file in which the scope and description columns are translated. No changes should be made to the rest of the columns. The profiles of each exhibitor in both files should have the same order and identical UUID numbers.

To add another language layer, first select a language from the drop-down list, and then follow the same steps as for the first layer:

NOTE!
Importing translated content requires that the primary language layer also comes from the import.

Edit the file for importing exhibitors

In a situation where, after importing exhibitors for your event, you need to make some changes or add new people, you can edit the file you added earlier and import it again. All changes made to the exhibitors already published will be updated. You can also add new exhibitors with all the information, giving them consecutive uuid numbers. After making edits in your file, import it again in the admin panel.

NOTE!

Remember to keep the uuid numbers of all panelists the same. This will ensure that the previously entered data will update correctly.
