Adding speakers to the Speakers module

You can add speakers performing at your event to the Speakers module in two ways. Individually through the admin panel (you can learn more about adding speakers in the Speakers article) or by importing all attendees using a bulk file. This article describes how to properly create a file with all speakers' data and import it to your event.


How to save the data for import?

The data for import should be saved in a file with a csv format extension. Excel, Numbers (an app for iOS users) and Google Document Spreadsheets allow you to export to this file extension.

Before exporting the data, make sure that the file saves in the Unicode UTF-8 encoding system. In case the file saves in a different encoding system and pops up an error when importing it in the panel, do the file conversion in a free online tool.

Import of Speakers

If you want to import speakers' data into the admin panel, go to the Speakers module in the Create tab and click the cloud icon with the up arrow in the upper right corner:

Then, through the Template XLSX or Template CSV button, download the ready-made template in the format extension of your choice:

NOTE!

If you download the template in xlsx form, remember to convert it to csv format before uploading.

You can also prepare a csv extension file by yourself, which will contain the following columns: uuid, first_name, last_name, vip, position, company, country, description, show_contact_details, email, phone, facebook, linkedin, twitter, youtube, instagram, photo_url. None of the columns can be skipped in the file. In addition, the columns must be set in the order listed above. Otherwise, the import will not complete successfully. If you do not want to fill in all the information, leave a column in the file, but do not fill it in. The only mandatory columns are uuid and the speaker's last_name.

NOTE!

Note that there is no column for speaker photos in the template. If you want a photo assigned to your panelists, add it in the admin panel by editing speaker profiles.

Entering data for importing speakers

uuid - is an identification number that must be separate for each speaker. It can consist of a sequence of any characters, although it is recommended to use digits consecutively from 1 to infinity.

To assign a speaker to a session in the agenda when importing the agenda, assign the uuid number in the speaker_uuid column from the previously used speaker import file. See how to import an agenda with speakers.

vip - if you want to give the speaker's profile VIP status, then put a value in this column: 1. This designation is associated with the ability to display the profile at the top of the list of speakers, and to highlight the person by marking him with the VIP label. If you leave the cells in this column unfilled, it defaults to 0 and there is no VIP label in the speaker's profile.

show_contact_detail - by entering a value of 1 in the cell, you expose the speaker's contact information, which means that it will be visible in the application in his/her profile for all users. If you want to add contact data to the speaker's business card, complete the email and phone columns. If you do not want to provide the data, leave the column name on file without filling in the cells below.

If you choose to fill in the above columns, remember that the email address should not contain diacritical marks (ą,ö,etc.), and the phone number should be written together - without spaces. In the case where you want to add an area code, write it in one string, without adding a "+" sign in front of it, such as: 777888999, 48777888999.

Due to RODO/ GDPR regulations, keep in mind that it is your responsibility to get permission to publish the speaker's contact information.

If you already have a csv format file ready for import, click Select File and upload the previously prepared document. Then click Import and all speakers will be uploaded to the system:

Adding language layers during import

Translating speaker profiles into other languages is only possible when language layers have been added in the administration panel, in the Basic Info section.

In order to import another language layer in the Speakers module, a new csv file must be prepared, in which the data from the position and description columns will be translated. The data from the other columns must remain unchanged from the previously imported layer. The speaker profiles in both files should have the same order. UUID numbers are assigned to the speaker profile - they should remain the same in all imported files/layers.

To add another language layer, first select a language from the drop-down list, and then follow the same steps as for the first layer:

Importing translated content requires that the primary language layer also comes from the import.

Edit file to import speakers

In a situation where, after importing speakers to your event, you need to make some changes or add new speakers, you can edit the previously added file and import it again. All changes made to the speakers already published will be updated. You can also add new speakers with all the information, giving them consecutive uuid numbers. After making edits to your file, import it again in the admin panel.

NOTE!

Remember to keep the uuid numbers of all panelists the same. This will ensure that the previously entered data is updated correctly.
