Megan is your always-on recruiting assistant. She sits inside your hiring workflow, handles the repetitive admin, and keeps candidates (and your team) moving. You make the decisions; Megan does the busywork.
Check out how to enable Megan on each job and how she plugs into each stage of your process.
What Megan can do
AI Screening: Reads applications against your job description, posts a concise assessment, and (optionally) auto-moves candidates forward or disqualifies them based on your rules.
Smart Scheduling: Coordinates interviews using everyone’s availability, sends links, follows up, and prevents double booking.
AI Notes & Transcription: Transcribes, summarizes, and saves takeaways to the candidate profile.
Team Reviews & Debriefs: Schedules internal huddles, gathers input, and logs outcomes.
Background Checks: Kicks off checks with the candidate and keeps you updated on status.
Status Nudges & Housekeeping: Pings candidates who go quiet, closes the loop when someone declines, and alerts the team as things change.

Background Checks
Set Stage Rules:
Auto-advance if assessment is Strong or Good fit
Auto-disqualify if Not a fit
Require human review before moving stages
Add AI Guidance notes that tailor how Megan evaluates or prioritizes candidates.
✅ Tip: Guidance doesn’t need to be a fancy prompt. Write how you’d explain it to a new recruiter.
Example guidance
“We need hands-on Rust + distributed systems; cloud-only experience isn’t enough.”
“Prioritize candidates with Series A/B startup experience and customer-facing communication skills.”
“BA degree is nice-to-have, not required.”
How Megan works at each stage
Applied → AI Screening
Megan reviews the candidate’s resume, application answers, and the job description.
She posts a screening comment with:
Fit summary (skills, years, relevant projects)
Notable strengths & risks
A clear recommendation (Advance, Review, or Disqualify)
If you enable rules, Megan auto-moves the candidate or disqualifies with the reason you selected.
You can reply to Megan’s comment or adjust the rule anytime.
Scheduling Interviews
Megan messages the candidate to confirm interest and sends a smart scheduling link that reflects your team’s combined availability.
She holds times while confirming participants, prevents double booking, and handles time zone details.
Megan follows up automatically until:
A time is booked (calendar invites go out), or
The candidate declines (Megan moves them to Disqualified with notes and alerts the team).
Interview Notes & Transcription
Invite Megan to the meeting (toggle in the stage or event).
Megan records a transcript, pulls out high-signal moments, and posts a recap: competencies assessed, standout quotes, concerns, and next steps.
Everything is saved to the candidate profile, so you can scan history without hunting through docs.
Team Reviews & Debriefs
Need a quick internal sync? Megan polls the team for times, books a slot, and sends an agenda (e.g., “Decision, risks, references needed”).
She collects written input when someone can’t attend and summarizes the consensus afterward.
Background Checks
When you move a candidate to the Background Check stage, Megan:
Sends the candidate the check link and instructions
Answers common questions (“What ID do I need?”)
Monitors status and pings the candidate if they stall
Updates the hiring team as milestones complete
Troubleshooting
Megan isn’t screening new applicants
Check that Megan is enabled for the job and the Application stage. No times showing in the scheduling link
Ensure all interviewers shared calendars and have working hours set.Notes didn’t post after an interview
Confirm Megan was invited to the event and allowed to join the call.Auto-moves feel too strict/loose
Tweak your Stage Rules and AI Guidance. Small changes go a long way.
