FAQ: I have added a new associate to the team but they do not appear

If you’ve recently added a new associate to your team and don’t see them listed, don’t worry — this is a common question and easy to resolve.

Why This Happens

When a new associate is added at the organization level, they are not automatically assigned to a team as a scheduled member.

By default, when you grant them viewer permissions for one or more teams:

They will appear under a specific section within each team — the “Not Scheduled (Viewers)” tab.

Where to Find the Associate

To locate the associate:

  1. Go to the team where the associate should belong.

  2. Open the Associates tab.

  3. Click on the “Not Scheduled (Viewers)” tab.

  4. You should now see the associate listed there.

From this view, you can:

  • Confirm their access.

  • Assign them a Tour of Duty (TOD) if they should start receiving shifts.

  • Update their roles or permissions as needed.

Need to Schedule Them?

If the associate should appear as part of the scheduled staff:

  • Assign them a Tour of Duty within that team.

  • Once that’s done, they will automatically move from the “Not Scheduled (viewer)” section to the main list of "on duty" scheduled associates.
