Ensuring Specific Shift Assignments with the Autoscheduler

With Mesh AI, administrators maintain complete oversight of the scheduling process. You can secure specific assignments before utilizing the automated tools.

Pre-Assigning Critical Shifts

To ensure a qualified team member is placed in a role requiring specific credentials, you can manually assign shifts before running the Mesh autoscheduler. This allows you to lock in essential coverage while the engine handles the remaining gaps.

How to Manually Assign:

  • Select the Shift: Click on any shift within the team schedule.

  • Assign the Member: Choose a specific staff member for the slot.

  • Requirement Verification: The system will confirm the member meets the necessary job requirements for that specific shift type before the assignment is finalized.

Manually Assigning Team Members

To assign a specific individual to a shift on your team schedule, follow these steps:

  1. Select the Member: From the member drop-down list, choose the qualified person for the specific shift and date required (e.g., assigning Linda to a "1st Call" shift on December 3, 2024).

  2. Identify Conflicts: Look for warning icons next to members' names. These indicate potential scheduling conflicts, such as:

    • Unmet job requirements.

    • Approved vacation or requested time off.

    • Existing scheduling constraints.

Managing Warning Signs

While it is generally recommended to avoid assigning members with warning icons to prevent scheduling errors, these alerts are informational. You still have the authority to schedule these members for a particular shift if the situation requires it.

Generating the Schedule

Click the "Autoschedule" button to initiate the generation of your team schedule.

  • Processing Time: Please allow a few minutes for the system to create the new schedule.

Once the process is finished, your manual assignments remain locked in place, and the engine fills the remaining gaps.

  • Preserved Assignments: Any member you manually assigned to a specific shift (e.g., Linda for "1st Call" on December 3, 2024) will stay on that shift.

  • Filling the Gaps: The autoscheduler then assigns all remaining shifts to the rest of the available team members.

  • Continued Eligibility: Members you assigned manually are still eligible to receive additional shifts from the autoscheduler, provided they are available on other dates and qualified for those roles.
