Step-by-step user guide for a new user

Welcome to Mesh AI and the Mesh AI 101 Guide. These are the first steps towards operational harmony.

We are here to support you via help or support chatbox on your web (blue button at the bottom of your web browser) or mobile apps ("more ..." section > help).

We have loads of helpful articles with images, schematics, and videos to show you how to to do just about anything Mesh AI can do. These FAQs are also accessible when you use the chat. Ask a question and see the power of augmented intelligence (AI): we pick the right help article and show you where your answer lies. Well, almost always. When that fails, a real human with blood and flesh intelligence will be eager to help you out so no worries at all.

Here is a Mesh AI 101 for your reference. It is an amalgamation of a few of those help articles.

1. Joining your Mesh AI team

Using a web browser (not a mobile app):

1. Your team admin should first invite you to your team. When so, you receive an email that will look like this:

If you do not see this email and your admin has invited you for sure, two things might be off. Ask them what email address they used to invite you. Chances are they used a different email address. The other possibility is that the invitation email might be in a spam folder. Use the search feature of your email application to look up "Mesh AI".

To join the Team, simply click "Join the Team". If you have not been on the system before, you will be sent to a registration page. If you already have an account, you may be asked to sign in. In the latter case, skip to Step 4 below.
2. Enter your information on the registration screen. Note, if you wish to use an email address that is different than the email address that you received your invitation to, you will have a couple of extra steps at the end of this process.


Important note: Double-check your time zone. If you set your time zone incorrectly, events may appear at the wrong times or even days Mesh AI.

3. If you created an account using a different email, you may be asked to activate your account. An email with a link will be sent to your email to prove that you own the email address you signed up with (see picture below). Sometimes this email is sent to spam folders too. Search for "Mesh AI" here again. If you did not receive an activation email, contact Mesh AI support.

4. Upon logging in, you should have automatically joined the team that you were invited to. If you have other invitations pending, you may confirm them by simply clicking "Join" in the teams list (see below). In this case, we have one invite pending to the team "Doctor Call Schedule".

If you do not see any invitations, you likely did not sign up with the email that you were invited with. That’s ok! After you have successfully activated your account, go back to the original invitation email and click "Join the Team" this will associate the invitation with your newly created account.

If you have any trouble with any of these steps, please contact Mesh AI support by selecting the help button in the bottom right corner.


2. Viewing your schedule

Once you're on your team, you can also use Mesh AI iOS or android apps. We do not recommend (nor support) using a mobile browser to work with Mesh AI. With mobile apps downloaded from app stores and installed on your devices (takes a few seconds), you can take care of many Mesh AI tasks easily via your smartphones on the go. Note that some admin functionalities are only available on the web app.

On the web app (using a browser like chrome, safari, edge, firefox, etc.), you will see your schedule on your calendar right away.

On mobile apps, after you log in, (and you can stay logged in if you choose so), you will see your teams on the top carousel. Touch the name of the team to slide between and view the published schedules. Both iOS and Android apps also allow you to toggle between full calendar and agenda view by using the toggles icon in the top right corner.

In the apps, the first screen you'll land on is "My Schedule", which will show you all

shifts you are scheduled for across all teams. From here you can also slide between the teams you are part of to see the full schedule for each team.


3. Creating a request from the web

Requests are work preferences and/or requirements made by users (or by an administrator on behalf of a member) before scheduling occurs. If done after a schedule is created and published, these requests can not be taken into consideration.

There are five types of standard requests: vacation, cannot work, must work, prefer not to work, and prefer to work. Mesh AI allows for custom requests (added by the Mesh AI team during the setup upon admin's request).

To submit a request via the web application, click on a day from your calendar and fill in your information in the "New Requests from Team Members" pop-up window. Requests usually require the team administrator's approval and must be made prior to scheduling. Soft requests like preferences do not need approval and are only taken into account when all hard rules and requests are observed.

4. Creating a request from the app

From your calendar page, start by pressing the "+" floating button in the bottom right corner and fill out the information listed for the request including which of your teams the request should be for, the type of request, dates, etc.

4. Picking up a shift from Mesh bazaar: accepting new shifts from others.

On the web, clicking on the bazaar icon will open the bazaar tab. All the open deals and your shift swaps will appear in the bazaar. Here, you can see all the available shifts that are up for grabs and any deals that might be in progress. Users can start a deal by clicking on their shifts in the team calendar.

5. Adding a shift to the Mesh bazaar: getting rid of a shift previously assigned to you.

When you need to remove yourself from a shift, you can click on the desired shift in your calendar and create a deal by clicking "Make Deal". If you do so by mistake or change your mind, you can cancel it from the bazaar before your team admin or other members assign or accept it.

This is easily done on mobile apps too. Similarly, you touch the shift, and "Make Deal".
