How to link Pemo to Xero - Step by Step Guide

Connecting Pemo to Xero helps you sync expenses, vendors, VAT rates, and chart of accounts automatically — so you can spend less time on manual data entry and more time closing your books.

This guide will walk you through the setup, step by step.


1. Check Your Access

Before you begin, make sure you have the right permissions:

  • In Pemo: You need to be an Admin or Accountant.

  • In Xero: You need a Standard or Advisor role.


2. Start the Connection in Pemo

  1. Log in to Pemo.

  2. Go to Accounting Export

  3. From the integration list, select Xero.


3. Log Into Xero

  1. Click Connect to Xero in Pemo.

  2. You’ll be redirected to the Xero login page.

  3. Enter your Xero credentials

  4. If you manage multiple companies, select the correct organization.

  5. Review the permissions and click Allow access.

Reminder: Only Standard or Advisor users in Xero can authorize the connection.


4. Choose Your Payment Account

Once Xero is connected, you’ll need to select the Payment Account that represents your Pemo Wallet in Xero.

  • If you already have a suitable account in Xero (e.g. a dedicated wallet account), select it.

  • If not, you can create a new account directly in Pemo.

Pemo Power Tip: you can always change or update your payment account later.


5. Data Sync from Xero to Pemo

After setup, Pemo automatically imports key accounting data from Xero:

  • Chart of Accounts (e.g. expenses, assets, liabilities)

  • Vendors / Contacts

  • VAT list

  • Tracking categories (e.g. cost centers, departments)

This ensures your categorization in Pemo matches exactly what’s in Xero.


6. You’re Ready to Go

Setup is complete! From now on, you can:

  • Categorize expenses in Pemo using the imported accounts, VAT, and vendor lists.

  • Export expenses to Xero with one click — complete with receipts and audit logs.

  • Reconcile your Pemo wallet with your cash account in Xero quickly and accurately.


Troubleshooting Tips

  • Xero option missing? → Ask the Pemo tech team to enable it (due to Xero’s 25-user limit).

  • Wrong company connected? → Disconnect from Xero in Pemo and reconnect, selecting the correct entity.

  • Need a new payment account? → Create one directly in Pemo during setup or later in Xero under Bank Accounts.
