Link an Existing User Account - Coming October 13, 2026!
If a user already has a Milk Moovement login in another region or co-op, admins can now link the existing account instead of creating a duplicate account.
This allows the user to keep one Milk Moovement login across regions or co-ops, using the same username and password they already have!
Who is affected?
This change only affects:
Admins creating a user whose username or email already exists; or
Admins who choose Link Existing when adding a user.
Users who already have access are not affected by this change.
Overall, this is an enhancement to the existing user-linking process that helps prevent duplicate accounts and allows users to maintain a single Milk Moovement login across regions or co-ops.
What does this mean for you?
This change makes it easier to give an existing Milk Moovement user access to another region or co-op without creating a duplicate account.
Users keep the same username and password they already use.
Admins can link an existing account instead of creating a second account.
Admins cannot see which other region or co-op the existing user belongs to.
If an Admin attempts to create a new user with a username or email that already exists, Milk Moovement will prompt you to confirm the link.
How it works
When adding a user, admins now have two options at the top of the Add User screen:
New User - The default option. Use this when creating a brand-new Milk Moovement user.
Link Existing - Use this when the user already has a Milk Moovement login.
1. Select Link Existing
Select Link Existing at the top of the Add User screen.
The username, email, and password fields will be replaced with a search field. Search for the user using their existing username or email address.
2. Review the search results
Depending on the user's existing account, you may see one of the following:
User already exists in this region
If the user already has an account in your region, a warning will indicate that the user already exists in this region. There is no additional account to link.
User exists in another region or co-op
If the username or email belongs to an existing user in another co-op, their details will be displayed in a blue box and you will have the option to confirm the link.
The other region or co-op where the user has an account will not be displayed.
3. Confirm the link
Before the user can be added, you must select Confirm Link. Until the link is confirmed, the Add button at the bottom of the page will remain disabled.
Once you select Confirm Link, the search will be locked and the message will update to confirm what is being linked:
Linking [Name] ([username or email]). Their password will not change.
4. Complete the user's details
Fill in the remaining required fields for the user, then select Add. The user can then log in using the username and password they already use for Milk Moovement.
