Exclude Users from the Daily Rostering Sync

Learn how to prevent specific users or entire roles from being updated or archived during the daily SIS sync.

If your school rosters data automatically from a Student Information System (SIS), Minga typically performs daily updates to ensure your records are current. However, you may have specific Staff or Students whose information should not be overwritten, or guest users who need to remain active despite not being in your SIS. This guide will help you customize your sync settings to maintain data accuracy for these unique cases.

Exclude an Individual User from the SIS Sync

You can exclude an individual from the daily SIS sync to ensure that manual changes to their profile—such as a preferred name—are not reverted by the automated system. This also prevents users who are not in your SIS from being archived.

Step-by-step guide to Excluding an Individual User from the SIS Sync

  1. Click on People in the left-hand navigation sidebar to open the People Manager.

  2. Use the Search bar at the top of the list to find the individual by name, email, or ID.

  3. Click the Edit icon (pencil) on the right side of the user's row to open their profile details.

  4. Locate the Include User in SIS Sync toggle.

  5. Toggle Include User in SIS Sync to OFF.

  6. Click the Save button to apply the changes.

This is perfect for Students who use a preferred name that differs from their official SIS record. Once toggled off, Minga will no longer overwrite your manual edits.

Manage Sync Settings for an Entire Role

You can exclude an entire role from being archived or updated if you prefer to manage a specific group (like Admins or Staff) manually.

Step-by-step guide to Excluding an Entire Role from the SIS Sync

  1. Navigate to the People section in the main menu.

  2. Click on the Rostering tab located at the top of the People screen.

  3. Locate the specific role you wish to modify (e.g., Student, Teacher, Staff, or Admin).

  4. Toggle Auto Update to OFF if you want to prevent the SIS from changing existing user data for that role.

  5. Toggle Archive to OFF if you want to prevent users in that role from being deactivated if they are missing from the SIS file.

Additional Features or Settings

Beyond individual exclusions, you can verify the status of your sync through the SIS Logging feature. This allows you to see exactly which records were Created, Updated, Ignored, or Archived during the last run.

FAQ

How do I prevent a manually added user from being deleted by the sync?

You can prevent a manually added user from being deleted by clicking the Edit pencil on their profile in the People manager and toggling Include User in SIS Sync to OFF.

Will turning off "Auto Update" for a role stop new users from being created?

No, turning off Auto Update only stops the SIS from changing information for existing users; new users will still be created if they appear in your SIS data and the general sync is active.

Can I change a student's name if they are synced with the SIS?

You can change a student's name in Minga by first toggling OFF the Include User in SIS Sync option on their profile, which stops the system from reverting your changes to the official SIS name during the next daily sync.

If the setting 'Include user in SIS sync' is toggled off, will student enrolments update on User Lists?

No. If the setting Include user in SIS sync is toggled off for a User, that user will not be "seen" by the sync and any information in the SIS that has changed or been updated will not be reflected in Minga. If you notice that a Student is missing from a list or a Teacher does not see their class lists, ensure this setting is toggled ON.
