You can adjust the timeout duration for hall pass requests to give staff more time to approve or deny them. This setting applies to both student-initiated requests and staff-to-staff requests. By extending this window, you ensure that requests do not expire before a teacher or manager can take action.

Adjusting Timeout Durations
You can adjust the countdown that appears when a student creates a hall pass, which requires Teacher approval. Or when a Teacher requests a hall pass that another staff member needs to approve.

Step-by-step Guide to Adjusting Timeout Durations
To begin adjusting your pass settings, navigate to the Hall Pass module in the left sidebar and click the Settings tab.
The Settings page contains configuration options for all pass types and approval workflows.
Under the Hall Pass Request Timeout Duration heading, enter a new numerical value in the Student created hall pass (mins) field.
This sets the number of minutes a student request remains active before timing out.
Enter a new numerical value in the Staff created hall pass (mins) field.
This sets the limit for passes requested by a teacher that require approval from another staff member.
Review your changes to ensure the numbers are correct.
Settings in this section save automatically.
Note: If the request times out before it is approved or denied, the hall pass will not be assigned or created.
How Timeouts Affect Passes
When a Student or Staff member requests a pass that requires approval, a countdown timer begins on the recipient's screen.
Before timeout: The approver sees the request as an active notification and can click Approve or Deny.
After timeout: If no action is taken, the request disappears from the approver's queue. The requester is notified that the pass was not approved in time and must initiate a new request if the pass is still needed.
Pro Tip: If your teachers are missing requests because they are busy in class, consider increasing the duration to 10 or 15 minutes to give them more flexibility.
FAQs
FAQs
What happens when a hall pass request reaches its timeout duration?
When a hall pass request reaches its timeout duration, the request expires and disappears from the staff approval queue. The student or staff member must then initiate a new request if the pass is still needed.
Does changing the timeout affect passes that are already requested?
Adjusting the timeout duration only affects new requests created after the setting is changed; it does not retroactively update the countdown on requests that are currently pending.
