System Despatch Note - Configuration and Setup

Steps to configure despatch note templates, upload images, and customise settings for your channels and clients.

Despatch notes (sometimes called picking lists) can be configured on a client-by-client and channel-by-channel basis. You can select template styles, add logos, and customise settings to suit your business needs. Follow these steps to set up your despatch notes.


Setting up a despatch note

To add a new despatch note entry:

  1. Click Settings, then click Despatch Note Settings.

  2. Click Add New Despatch Note.

  3. Choose the Channel if needed, or leave it as ALL.

  4. (3PL Only) Choose the Client.

  5. Select the Template Style:

    • Classic - System default which includes logos.

    • Designer - Alternative design but doesn't include logos.

    • Custom Despatch Notes will also appear in this list if uploaded.

  6. (Optional) Configure the following settings:

    • ShowPricing: Show order and item values.

    • Group By Bundle: Group the bundle and components together, showing the Bundle SKU at the top.

    • Group By Bundle - Show Top Level Only:

      • If Group By Bundle is ON and Group By Bundle - Show Top Level Only is ON, it will only show the Bundle SKU and not the Component SKUs.

      • If Group By Bundle is OFF and Group By Bundle - Show Top Level Only is ON, it will only show the Component SKUs and not the Bundle SKU.

    • Main Logo (Top Image): Upload a logo to appear above order details (Classic and Designer templates only).

    • Promo Image: Upload a promotional image to appear below product information (Classic and Designer templates only).

    • Return Address: Enter a custom return address for the despatch note.

    • InfoTitle: Add a title for additional information (such as "Refund Policy" or "Hours of Business").

    • Info: Add the text for your additional information.

    • Sort Order: Choose the sort order for picking table lines.

    • Highlight Quantities on Despatch Note: Highlight lines where the quantity is greater than 1.

  7. Click Update.

Note: For Custom Despatch Notes, all images and logos must be added directly to the Word document template. The Top Image and Promo Image settings only apply to Classic and Designer templates.


Adding images

Two sections of the despatch note can be used for uploading logos for Classic and Designer templates:

  • Top Image: Above the order details, which spans the full width.

    • Image pixel dimensions: 1475 x 350.

  • Promo Image: Spans the full width of the despatch note and appears beneath the product information.

    • Image pixel dimensions: 1475 x 200.

Important: When creating a Custom Despatch Note, all images and logos must be added to the Word document when creating the despatch note. The Top Image and Promo Image sections on the Despatch Note Settings page only apply to the system-built despatch notes, not custom despatch notes.


Despatch note FAQ

What is the Specifics column used for?

The Specifics column on the system default despatch note refers to the product attributes (Expiry Date, Batch Number, Serial Number). The information will only show if the attribute(s) are being tracked and the item being picked contains one or more of these attributes.

Can I add or remove columns from the despatch note?

The preloaded despatch note (Classic and Designer) columns cannot be amended. The only way to add, remove, or rename columns from the despatch note is to create a Custom Despatch Note instead.

Note: For Custom Despatch Notes, you can customise the columns in the picking table by specifying which fields to include when creating your Word document template.

My Top Image and Promo Image are not displaying on the Custom Despatch Note

When creating a Custom Despatch Note, all images and logos must be added to the Word document when creating the despatch note. The Top Image and Promo Image sections on the Despatch Note Settings page only apply to the system-built despatch notes, not custom despatch notes.
