Book Inventory - Bulk CSV upload

As well as manually booking stock you have the option to update inventory in bulk with a spreadsheet (.CSV file) upload. This is useful if you want to add or remove stock from multiple products at once without using ASNs. The spreadsheet needs to be uploaded using the correct format and layout. If you already have the spreadsheet populated, skip to the How to upload a spreadsheet section.


Prerequisite - Removing stock in bulk

When removing stock using the bulk CSV method, please make sure the quantity doesnโ€™t go below zero in Mintsoft. For example, if you currently have 10 units and want to reduce it to zero, only remove 10, removing more would result in a negative stock level, like -1.


Downloading and populating a spreadsheet

Updating inventory in bulk to Mintsoft is done through a spreadsheet, to create and upload a Goods In spreadsheet please do the following:

  1. Click Products then Extras.

  2. Next, click Upload Goods In / Out Spreadsheet.

  3. Click Download Template.

  4. A CSV file will be downloaded.

  5. Populate the template.

    • The Client, SKU, Warehouse, Quantity and Comment columns are mandatory.

  6. (3PL Only) Enter the Client.

  7. Enter the SKU.

  8. Enter the Warehouse.

  9. (Recommended) Enter the Location.

    • Leaving it blank will book inventory into your Unassigned location.

  10. (Optional/ if used) Enter the BestBefore, BatchNo, and SerialNo.

  11. Enter the Quantity.

    • To book in (Add stock) to Mintsoft use a positive number e.g. 5.

    • To book out (Remove stock) from Mintsoft use a negative number e.g. -5.

  12. Enter a Comment.

  13. Continue populating the spreadsheet with all the adjustments.

  14. Once finished, click Save.

How to upload a spreadsheet

Once you have populated a Goods In Spreadsheet, the next step is to upload it:

  1. Click Products then Extras.

  2. Next, click Upload Goods In / Out Spreadsheet.

  3. Click Choose File and find the spreadsheet.

  4. Finally, click Upload.

  5. If the template has been completed correctly, you should see a Stock Successfully Updated results screen.

  6. The updated stock will be reflected in the system.
