Create and manage custom reports

Steps to create, view, and manage custom reports in Mintsoft using the Custom Reports Builder.

You can create custom reports in Mintsoft to view specific data tailored to your business needs. The Custom Reports Builder allows you to select the type of data you want to report on and choose which fields to include. This article explains how to create, view, and manage your custom reports.


Create a custom report

To build your custom reports in Mintsoft, follow these steps:

  1. Click Reports, then click Custom Reports Builder.

  2. Click New Custom Data Model.

  3. Select the type of report you want from the Export Type drop-down.

  4. Give the report a name.

  5. (3PL only) Select the client you wish to report on or leave as ALL to include all clients.

  6. Add the relevant reporting fields.

  7. Click Save.

Tip: When adding fields to your custom report, you can change the column name by updating the Name field. This will display the changed name when viewing the custom report. For example, you can change SKU to Product Code.


View custom reports

Once a custom report has been created, you can view it by following these steps:

  1. Click Reports, then click Custom Reports.

  2. Select the report you want to view.

This is where you'll be able to run your bespoke reports.

Warning: The To Date field cuts off at 00:00 (12am) on the selected day. To include all activity for a specific day, set the To Date to the following day. For example, to see all orders despatched on 15 March, set the To Date to 16 March.


Export custom reports to CSV

You can export your custom reports to CSV format for further analysis:

  1. Open the custom report you want to export.

  2. Click Export to CSV or click the CSV button next to the search bar.

The report will download as a CSV file containing all the information from your custom report.


Edit existing reports

Once a custom report has been created, you can edit the report and add or remove fields if needed:

  1. Click Reports, then click Custom Reports Builder.

  2. Find the report you want to update.

  3. Click Edit and make the relevant changes.

  4. Click Save.


Export types

The Custom Reports Builder offers different export types, each providing access to specific fields and data. Select the export type that matches the information you need to report on.

Product

Shows fields relevant to live and discontinued product data and usage, including Product Usage and Inventory Levels. Use this when you need comprehensive product information including discontinued items.

ProductExcludingDiscontinued

Shows fields relevant to live product data and usage, including Product Usage and Inventory Levels. Use this when you only want to see active products in your inventory.

OrdersNoSKU

Shows fields relevant to order details but nothing specific about products on the order. This export type includes all orders regardless of status. Use this when you need order-level information without product-specific details.

Invoice

Shows fields relevant to client invoice data, including Picking Costs, Number of Parcels, and Number of Picks. Use this for accounting and billing reports.

Orders

Shows fields relevant to order details and products on the order, including Order Number, Weight, Expiry Number, and Number of Items. This export type includes all orders regardless of status. Use this when you need both order and product-specific details for each order line.

StockFlow

Shows fields relevant to product stock flow, including Flow, Stock Level, On Hand, and SKU. Use this to track how inventory moves through your warehouse.

BarcodeVerification

Shows fields relevant to order details as well as the scanned barcode of the products on the order, including Verified Barcode, Batch Number, and Order Number. Use this for quality control and verification reporting.

ProductInLocation

Shows the same fields as the standard Products In Location report but allows you to customise the layout and column names. Use this when you need location-specific inventory data with custom formatting.

Returns

Shows fields relevant to order returns, including Return Reason, Order Number, SKU, and Action. Use this to analyse and manage returned items.

Orders-DespatchDate

Shows fields relevant to order details. The date filter applies to the Despatch Date associated with the order. This export type exclusively includes orders that are marked as Despatched, as this is what determines the despatch date.

Orders-OrderDate

Shows fields relevant to order details. The date filter applies to the Order Date on the order. This export type includes all orders regardless of status.

Orders-OrderDate-GroupByBundle

Shows fields relevant to order details. The difference between this export type and the Orders-OrderDate export type is that when the order contains a bundle, it only shows the bundle SKU but not the component SKUs. Other SKUs in the order not relating to the bundle will show as well. The date filter applies to the Order Date on the order. This export type includes all orders regardless of status.

Orders-EDI-945

Shows fields relevant to EDI (Electronic Data Interchange) 945 warehouse shipping advice transactions. Use this when you need to generate shipping notifications in EDI format for integration with external systems.


Filters and conditions

Filters and conditions like Include Archived Items or Instock Items Only are unavailable on custom reports. These filters are only available on the prebuilt reports in Mintsoft.

Tip: As a workaround, add the field that relates to the filter you want to apply. For example, if you have a Product report and you only want to see items that are in stock, add the Stock Level field to the custom report and then manually filter out the results when you export the report to CSV.


Troubleshooting

Information is missing from the report

If you're noticing missing information in your custom report, for example orders were despatched but aren't appearing, make sure the To Date is set one day later than the date you need. This is because the To Date field cuts off at 00:00 (12am) on that day, so any actions taken later in the day, for example 11am or 1pm, will be included in the report for the following day.

Renaming fields

You can rename fields when adding them to your custom report. For example, you might want to change "SKU" to "Product Code".

To rename a field, update the Name field when adding it to your custom report. The changed name will appear when you view the report.
