Custom reports in Mintsoft allow you to create bespoke reports tailored to your specific business needs by selecting exactly which data fields to include and how to arrange them.

Create a custom report

To build custom reports in Mintsoft:

  1. Click Reports then Custom Reports Builder.

  2. Next, click New Custom Data Model.

  3. Select the Type of report you want from the Export Type drop-down.

    • Selecting Product shows data related to products (product usage, inventory levels, etc.).

    • Choosing Invoice shows accounting-related information (number of picks, total items, etc.).

    • See 'Available export types' section for the complete list.

  4. Enter a Name for your report.

  5. (3PL Only) Select the client you wish to report on or leave as ALL.

  6. Add the relevant reporting fields.

  7. Click Save.

View custom reports

Once created, you can view custom reports by:

  1. Click Reports then Custom Reports.

  2. Select your report from the list.

  3. Set your date range and any other parameters.

  4. Click Search to generate the report.

Warning: The To Date field cuts off at 00:00 (12am) on the selected day. To include all activity for a specific day, set the To Date to the following day. For example, to see all orders despatched on 15 March, set the To Date to 16 March.

Export reports

To export custom report data:

  • Click Export to CSV or the CSV button next to the search bar.

  • This exports all information from the custom report to a CSV file.

Edit existing reports

To modify a custom report:

  1. Click Reports then Custom Reports Builder.

  2. Find the report you want to update.

  3. Click Edit.

  4. Make the relevant changes:

    • Add or remove fields.

    • Rename fields by updating the Name field (for example, change 'SKU' to 'Product Code').

  5. Click Save.

Available export types

The following Export Types are available when creating custom reports:

  • Product: This will show fields relevant to live and discontinued product data and usage (Product Usage, Inventory Levels, etc.).

  • ProductExcludingDiscontinued: This will show fields relevant to live product data and usage (Product Usage, Inventory Levels, etc.).

  • OrdersNoSKU: This will show fields relevant to order details but nothing specific about products on the order, this export type will include all orders regardless of status.

  • Invoice: This will show fields relevant to client invoice data (Picking Costs, Number of Parcels, Number of Picks, etc.).

  • Orders: This will show fields relevant to order details and products on the order (Order Number, Weight, Expiry Number, Number of Items, etc), this export type will include all orders regardless of status.

  • StockFlow: This will show fields relevant to product stock flow (Flow, Stock Level, On Hand, SKU, etc.).

  • BarcodeVerification: This will show fields relevant to order details as well as the scanned barcode of the product(s) on the order (Verified Barcode, Batch Number, Order Number, etc.).

  • ProductInLocation: This will show the same fields as the standard Products In Location report but allows you to customize the layout/ column names.

  • Returns: This will show fields relevant to order returns (Return Reason, Order Number, SKU, Action, etc.).

  • Orders-DespatchDate: This will show fields relevant to order details. The date filter will be applied to the Despatch Date associated with the order. This export type will exclusively include orders that are marked as Despatched, as this is what determines the despatch date.

  • Orders-OrderDate: This will show fields relevant to order details. The date filter will apply to the Order Date on the order; this export type will include all orders regardless of status.

  • Orders-OrderDate-GroupByBundle: This will show fields relevant to order details. The difference between this export type and the Orders-OrderDate export type is that when the order contains a bundle, it will only show the bundle SKU but not the component SKUs, other SKUs in the order not relating to the bundle will show as well. The date filter will apply to the Order Date on the order; this export type will include all orders regardless of status.

Limitations and workarounds

Filters not available

Custom reports do not support filters such as 'Include Archived Items' or 'Instock Items Only' that are available in prebuilt reports.

Workaround

Add the field relating to the filter you need, then manually filter the exported CSV file. For example:

  1. For a product report showing only in-stock items, add the Stock Level field.

  2. Export the report to CSV.

  3. Filter out zero stock levels in your spreadsheet application.

Missing information

If expected data doesn't appear in your report, check the To Date setting. Remember that the To Date cuts off at midnight (00:00), so actions taken later that day appear in the following day's report.
