Xero (3PL) Integration Features

  • 3PL Accounting integrations mean that your warehouse can push invoices to Xero for charges like picking, shipping, and storage.

  • Exports 3PL Invoices to Xero with ledger mapping.

  • For Account Integrations where one of your clients can push data between Mintsoft and their Xero account, please see Xero Multi Channel Integration.

Note: There are additional charges for using this Integration on top of the base Mintsoft package, please contact your CSM or account manager for further information.


Prerequisite - Setting the Integration Type

To set the Accounting Integration Type for your Mintsoft Database, please do the following:

  1. Click Settings then Customer Account Settings.

  2. Use the Accounting Integration Type drop-down and select Xero.


Adding the connection

To add a new Xero connection on Mintsoft, please do the following:

  1. Click Connect then Accounting Integrations.

  2. Select Xero then click Create Account.

  3. Leave all fields blank except -

    • Order Sync Frequency (Minutes): Enter 15.

    • XeroIntegrationType: Select FulfillmentAccounting.

  4. (Australian based customer) Toggle ON Use BAS instead of VAT.

  5. Click Save.

  6. On the right, click Connect to Xero.

  7. Click Allow Access.


Set default income account

Once you've successfully authorised the connection, edit the connection in Mintsoft and check the DefaultSalesAccount is correct for your sales. Sales get posted here if Mintsoft doesn't find an item code already set up then click Save.


Contact setup

Before connecting to Xero, please make sure your contact names on Xero match the Mintsoft client name exactly, if they don't match exactly then the integration won't be able to post invoices to Xero.

Invoice history

There must be at least one invoice transaction for the contact on Xero for the integration to post future invoices, so if the client doesn't have any invoice history, quickly make a draft invoice with zero values before attempting to use the integration with Mintsoft.


Ledger account mapping

To map the Mintsoft charging areas to specific sales ledger accounts on Xero:

  1. Click Connect then click Accounting Integrations.

  2. Select Xero then click Account Mappings.

  3. Map the AccountCodeTypes to the relevant XeroAccountCodes.

When you create the invoice in Xero any accounts you've mapped show on the draft invoice you create:

Note: You can map it to both Invoice Item Charge Type Name and Charge Type categories.


Create a Xero invoice

Once Xero has connected, the process to create an invoice is very simple, just confirm the invoice in Mintsoft as normal, then in the top right, click Create Invoice In Xero. You can also view historical invoices in Xero directly from the confirmed invoice section.
