Royal Mail Integration

The Royal Mail integration enables you to ship parcels through Royal Mail directly from Mintsoft, with electronic pre-advice and automatic label generation for UK, European and worldwide destinations.

Royal Mail Integration Summary

  • UK Shipping.

  • Europe Shipping.

  • Worldwide Shipping - non-EU.

  • Commercial Invoice Documents (CN23).

    • Intersoft Intelligent Shipper® produces only CN23 documents to simplify the process. The CN23 contains all content required for both CN22 and CN23, working for all shipment values.

  • Electronic pre-advice.

  • Delivery confirmation for standard parcels.

Note: There's an extra charge for using the Royal Mail integration, please contact your customer success manager or account manager for more information.


Prerequisite - Royal Mail Online Business Account

Before Mintsoft can set up the integration, you must:

  1. Have your Royal Mail posting location reference (a numeric code starting with 9).


Request integration setup

The Mintsoft support team will set up your Royal Mail integration. To request setup:

  1. Gather the following information:

    • Your Royal Mail account number.

    • Registered email address for your online business account (OBA).

    • Your Royal Mail posting location (numeric reference starting with 9).

    • Your registered address for your Royal Mail account.

    • Your phone number and email address for contact details.

  2. Reference "Royal Mail Integration" as the subject.

  3. Include all the information above in the case notes.

Note: Processing typically begins immediately. While most connections are processed the same day, Royal Mail advises full integration can take up to 5 working days. You'll receive notification once the integration is successful.


Configure your Royal Mail connection

Once your Royal Mail account is added to Mintsoft, configure it as follows:

  1. Click Connect then Courier Integrations.

  2. Click Premium then Royal Mail via Intersoft.

  3. The page displays all Royal Mail accounts added to Mintsoft.

  4. Click Edit against your connection.

  5. Configure the following settings:

    • Client (3PL only) - Select either the 3PL (ALL) or the specific client.

    • Warehouse - Select your warehouse (do not use ALL as this will cause routing and notification issues).

    • Label Format - Choose PDF or PNG.

    • Shipper Company Display Name - Select how your company name appears on notifications (Name, Short Name, or Brand Name).

  6. Configure manifest creation settings using our Manifest help guide for reference.

  7. Configure optional settings if required:

    • Enable Pick List On Label PDF - Prints the pick list on the shipping label (only works for single parcel shipments with maximum five product lines).

    • Enable Use Actual Item Weight - Uses product weight from the product page instead of calculated average weight.

  8. Click Update to save your changes.


Additional configuration options

Show client details on labels (3PL only)

For 3PL databases, you can display your client's name on Royal Mail courier labels instead of your own.

Note: This incurs an additional charge of £10 per connection per month.

To enable this feature:

  1. Create a support case referencing this article.

  2. Include the following information:

    • Your Royal Mail account number (Mintsoft will mirror your account details to the client's account).

    • Client name (as it should appear on labels).

    • Client's return address (if different from yours).

    • Client's OBA access code (if different from yours).

    • Client's phone number and email address (or use 3PL contact details).

    • Specific warehouse the client uses.

Warning: You must select a specific warehouse for the client. Selecting ALL as the warehouse will cause routing and notification issues.


Configure DDP incoterm services

Royal Mail supports the following services with delivered duty paid (DDP) incoterms:

  • MPR - International Business Parcels Tracked Boxable (Country Pricing) - can only ship using DDP.

  • MTV - International Business Parcels Tracked & Signed DDP (Parcel).

  • DE6 - International Business Parcels Zero Sort Low Volume Economy (Parcel) - can only ship using DDP.

To ship with Royal Mail using DDP:

  1. Ensure the receiver's email address is provided for all shipments.

  2. Confirm Royal Mail has activated the DDP incoterm on your OBA integrated with Mintsoft.

  3. Ensure the ExtraCode6 field of the Royal Mail Courier Service Code within Mintsoft contains "DDP".
