Royal Mail Integration Summary

  • Europe Shipping.

  • Worldwide Shipping - non-EU.

  • Commercial Invoice Documents (CN23).

  • Electronic pre-advice.

  • Delivery confirmation for standard parcels.

Prerequisite - Royal Mail Online Business Account

Before setting up the integration, if you haven't already done so, you need to register for a Royal Mail online business account.


Add your own Royal Mail account

The Mintsoft support team will be able to set up your Royal Mail integration on Mintsoft, we will need the following information when you raise a case:

  • Your Royal Mail account number.

  • Registered email address for your online business account (OBA).

  • Your Royal Mail posting location. This is a numeric reference starting with 9.

  • Your registered address for your Royal Mail account.

  • Your Phone Number and Email Address for the contact details.

Once you have this information, please raise a new case online, referencing the title of this article and include the information above in the case notes.


Managing the Royal Mail connection

Once Royal Mail accounts are added to Mintsoft they can be configured. To configure a Royal Mail connection, please follow the steps below:

  1. Click Connect then Courier Integrations.

  2. Next, click Premium then Royal Mail via Intersoft.

  3. This page will show all accounts added to Mintsoft.

  4. Click Edit against the connection.

  5. (3PL Only) The Client will be either the 3PL (ALL) or the specific client.

  6. The Warehouse must be populated and not set as ALL for notifications to work.

  7. Set the Label Format for courier labels.

    • PDF or PNG.

  8. Set the Shipper Company Display Name.

    • This will be how the name of the company shows on notifications depending on the field selected.

    • Name, Short Name or Brand Name.

  9. Configure the manifest creation.

  10. (Optional) Enable Pick List On Label PDF.

    • This will print the pick list onto the shipping label, this will only work if the order is a single parcel shipment with a maximum of five separate product lines.

  11. (Optional) Enable Use Actual Item Weight.

    • If enabled this pulls the product weight directly from the product’s page instead of calculating the product weight using the average method.

  12. Once configured, click Update to save changes.

Show clients details on labels (3PL)

For 3PL Databases, your 3PL client's name can appear on the Royal Mail courier label instead of yours. To do this create a case referencing the title of this article, and include the following information:

Note: There is a charge of £10 per additional connection per month associated with this.

  • Your Royal Mail account number. (We mirror the details of your account to the client's account).

  • The name of the Client (The name will be displayed on the label).

  • Their Return Address (If different).

  • Their OBA access code (If different).

  • Their Phone Number and Email Address for the contact details (Or the 3PL).

  • The specific Warehouse the Client uses.

    • Selecting ALL as the Warehouse on the Royal Mail connection will not work and cause issues with routing and notifications.


Royal Mail DDP Incoterm services

Royal Mail supports the following services with DDP incoterms:

  • MPR - International Business Parcels Tracked Boxable (Country Pricing).

    • Can only be shipped using DDP.

  • MTV - International Business Parcels Tracked & Signed DDP (Parcel).

  • DE6 - International Business Parcels Zero Sort Low Volume Economy (Parcel).

    • Can only be shipped using DDP.

The following is required to ship with Royal Mail using DDP:

  • A receiver Email Address must be provided.

  • Ensure Royal Mail activates the DDP incoterm on the OBA that is integrated with Mintsoft.

  • ExtraCode6 of the Royal Mail Courier Service Code within Mintsoft must contain DDP.

What's the difference in Service Codes?

Every service code for Royal Mail has a different business rate and cost associated to it. Some service may have two others may have four different codes. To get a full breakdown of each code and the cost associated with it please speak with Royal Mail directly.

CN22 and CN23 Labels

Working in agreement with Royal Mail, Intersoft Intelligent Shipper® only produces a CN23. This is to simplify the process and reduce the need for different labels and designs. The CN23 contains all the content required in a CN22 plus the extra requirements demanded of a CN23, so regardless of value, we can have one document that works across the board.
