Access Mintsoft app - ASNs

The ASNs feature on the Access Mintsoft app allows you to receive and put away ASNs in Mintsoft. Purchase Orders (POs) must be raised as an ASN (Advanced Shipping Notice) before they can be viewed and receipted on the Access Mintsoft app.


How to receive the ASN

When receiving an ASN on the Access Mintsoft app, there are three methods you can use

  • Mark as Delivered: Mark the ASN as delivered to the warehouse, but you will receipt the goods later.

  • Goods in Location: The Goods In location acts as an interim location before assigning to the picking location.

  • Storage Location: The storage (picking) location is the traditional method of booking in an ASN, you would book the stock into the usual location(s) where the stock is held.

ASNs - Receive to goods in location

To receive an ASN to a goods in location on the Access Mintsoft app, please do the following:

  1. Within the Access Mintsoft app select ASNs.

  2. Scan or select an ASN.

  3. Select Receive to Goods In Location.

    • The location must have the Goods In location type selected to use this method.

  4. Scan or select a Goods In Location.

  5. Then select Yes.

  6. Next, scan the SSCC or Product Barcode.

  7. Select or scan the product to increase the Quantity to book in.

  8. Select Confirm Quantity.

    • If the full quantity hasn't been received yet, press the back arrow in the top left corner to be brought back to the contents of the ASN.

  9. Repeat for any additional products.

  10. The ASN will then be marked as Awaiting Put Away.


ASNs - Awaiting Put Away

To book in an ASN that's awaiting put away on the Access Mintsoft app, please do the following:

  1. Within the Access Mintsoft app select ASNs.

  2. Scan or select an ASN from the Awaiting Put Away tab.

  3. Scan the Goods In Location.

    • This will show in the top right corner for reference.

  4. Next, scan the SSCC or Product Barcode.

  5. Select or scan the product to increase the Quantity to book in.

  6. Select Confirm Quantity.

  7. Select or scan the Location Barcode.

  8. Select Yes.

  9. Repeat for any additional products.

  10. Finally, select one of the following actions -

    • Partial Book ASN: The ASN has arrived and had most of the stock booked in but not all of it.

    • Mark ASN Complete: The ASN has reached its final state and has been completed and ready to be invoiced.

    • Mark Awaiting Put Away: The ASN will show within the Awaiting Put Away tab.


ASNs - Receive direct to storage location

To receive an ASN to a storage (picking) location on the Access Mintsoft app, please do the following:

  1. Within the Access Mintsoft app select ASNs.

  2. Scan or select an ASN.

  3. Select Receive to Storage Location.

  4. Next, scan the SSCC or Product Barcode.

  5. Select or scan the product to increase the Quantity to book in.

  6. Select Confirm Quantity.

    • ​​​​​​​​​​​​​​​​​​​​​​​​​​​​​​​​​​​If the full quantity hasn't been received yet, press the back arrow in the top left corner to be brought back to the contents of the ASN.

  7. Scan or select the Location Barcode.

  8. Select Yes.

  9. Repeat for any additional products.

  10. Finally, select one of the following actions -

    • Partial Book ASN: The ASN has arrived and had most of the stock booked in but not all of it.

    • Mark ASN Complete: The ASN has reached its final state and has been completed and ready to be invoiced.

    • Mark Awaiting Put Away: The ASN will show within the Awaiting Put Away tab.

ASN - Navigation Overview

When viewing the contents of the ASN on the Access Mintsoft app, you can click the three dots in the top right corner to open the Options Menu:

​​​​​​Within the Options Menu there are actions you can take regarding the ASN:

  • Add unexpected product: By selecting this option, you can include a product that was included in the delivery but was not previously listed in the ASN.

  • Partially book ASN: If you haven't received all the stock/ products from the ASN and you are expecting more, you can mark the ASN as Partially Booked to complete the rest of the process another time.

  • Change delivery type: By selecting this option, you can view the current delivery type and change it if needed.

  • Change location: By selecting this option you can choose a different location to book in the ASN.


ASNs FAQ

Can we take photos when receiving an ASN on the Access Mintsoft app?

Photos cannot be taken on the Access Mintsoft app when receiving an ASN. But attachments such as PDF's, Images etc. can be uploaded to ASNs on the web version of Mintsoft.

Can you stop users on the mobile app over-receiving on a ASN?

The Access Mintsoft app does not prevent users from over-receipting on an ASN, but it does provide a warning if they attempt to receipt more than expected. A message will appear notifying them of the unexpected quantity, along with a warning before confirming the book-in of the ASN. If extra stock is received on an ASN, log it as an Unexpected Product with the additional quantity.
