Overview
You can set up the system to automatically request a courier label when you scan the despatch note barcode within Picking & Packing. This can significantly cut down the time it takes to create courier labels but should be used with consideration. This article explains both methods for automatically requesting labels and when each method triggers.
Understanding the two methods
There are two methods to automatically request courier shipping labels:
Scan Actions Page - Auto Create Shipment As Page Loads: This is applied in User Settings and applies to all orders for that warehouse user. It only triggers when you land on the Scan Actions page after scanning the despatch note barcode.
Manage Auto Request Label Rules: This can be configured for specific channels and courier services. For 3PLs, it can also be configured per client. This method can auto-request labels during order processing or import, right after a courier service has been determined (for example, by order rules). This happens automatically in the background and is not tied to the Scan Actions page. Results are logged to order comments.
Note: Both methods can be used together. If a rule already created a label during order import, the Scan Actions auto-request will detect this and show 'already created' as a success, so there is no harm in enabling both.
Prerequisites
Before setting up automatic courier label requests, ensure the following:
Courier service must be selected: A courier service must already be selected on the order. If none is set, no label will be requested.
Barcode verification priority: If barcode verification or serial number logging is required for the order, you'll be taken to verification first and no label will be requested automatically.
Permissions for rules: To create or delete Auto Request Label Rules, you must have the 'AdminAutoRequestLabelRules' role. If you don't see this option, contact your administrator.
When to use automatic courier label requests
Important: It is not advisable to use these settings if the user account needs to make frequent adjustments to the shipment, such as the quantity of parcels or courier service on the Scan Actions page.
Set up Scan Actions Page auto-request
This method triggers as soon as you land on the Scan Actions page after scanning the despatch note barcode. It only triggers on the first load from a successful scan; opening the page later or refreshing won't auto-request the label.
To set up the auto-request on Scan Actions page function, follow the steps below:
Click Settings, then click User Settings.
Click the Picking Defaults tab.
Turn on the Scan Actions Page - Auto Create Shipment As Page Loads toggle.
Click Save.
The courier shipment will then be requested automatically and sent to the courier tool if you have that installed and running. For more information on courier tool integration, see the Print Using Courier Integration Tool setting.
Enable both auto-request and auto-despatch
If you also have the Auto Despatch Settings enabled, the system will immediately redirect to despatch the order and then return to the Picking & Packing Overview, completely skipping the Scan Actions page after the shipment is successfully created.
Important: Only enable these settings on user accounts where the Scan Actions page is not needed for rework or any other shipping modifications.
Set up Manage Auto Request Label Rules
The Manage Auto Request Label Rules function allows you to request courier labels for specific courier services and order channels instead of it being enabled for all couriers.
To set this up, follow the steps below:
Click Picking & Packing, then click Overview.
Click Manage Auto Request Label Rules.
(3PL only) Select the client or leave as ALL.
Select the specific channel or leave it as ALL.
Select the specific courier service or leave it as ALL.
Click Create.
Note: Selecting ALL for client, channel, or courier service creates a wildcard rule for that field, meaning the rule will apply regardless of that field's value. You can combine ALL values to create broader rules.
To remove an existing Manage Auto Request Label Rules entry, click Delete.
What you'll see
When automatic courier label requests are triggered, you'll see different outcomes depending on the situation:
On success: A success message appears. If Auto Despatch is also enabled, the despatch step runs automatically.
If a label already exists: You'll see a message indicating the shipment has already been created, which is treated as success.
On failure: An error message is shown and auto-despatch will not fire.
