Order Management - Archive orders automatically

Order archiving helps maintain system performance by moving older dispatched orders out of your main order view while keeping them accessible for reference.


How archiving works

When you enable order archiving:

  • Orders are archived based on the number of months after dispatching you specify.

  • The initial archive runs when you activate the feature.

  • Subsequent archives run automatically once daily at the end of each day.

  • Archived orders remain searchable but won't appear in standard views or reports.

  • Disabling ArchiveOrders won't unarchive existing archived orders.

  • Only dispatched orders can be archived. Cancelled orders remain in the main system.


Configure archiving for 3PL databases

Set up archiving individually for each client in your 3PL database.

  1. Go to Clients then click Overview.

  2. Find the relevant client.

  3. Click Actions then click Edit.

  4. Click the Defaults tab.

  5. Turn ArchiveOrders to ON.

  6. Select the number of months after dispatch to archive orders.

  7. Click Save.


Configure archiving for multichannel databases

Enable archiving for your entire multichannel database.

  1. Go to Settings then click Client Settings.

  2. Click the Defaults tab.

  3. Turn ArchiveOrders to ON.

  4. Select the number of months after dispatch to archive orders.

  5. Click Save.


Access archived orders

Archived orders don't appear in the Orders Overview screen but remain in the system. To find an archived order:

  1. Go to Orders then click Overview.

  2. Enable Search Archive.

  3. Enter the order number.

  4. Click search.

Important: Once archived, orders cannot be unarchived or returned to the main order view.


Reporting limitations

Archived orders and returns are excluded from:

  • Standard reports.

  • Custom reports.

  • Data exports.

Plan your reporting requirements before setting your archive period.


Frequently asked questions

What information is retained in archived orders?

All order information remains intact when archived. No data is removed or deleted from the order record.

Can I archive cancelled orders?

No, the archive feature only applies to dispatched orders. Cancelled orders must remain in the active system.

When does the archiving process run?

  • Initial archiving occurs immediately when you enable the feature.

  • Daily archiving runs automatically at the end of each day.

  • Orders meeting your specified period are archived during each run.
