The Brightpearl integration connects your Brightpearl account with Mintsoft to synchronise orders, stock, and shipping information across both platforms.
Integration features
The Brightpearl integration provides:
Order synchronisation.
Purchase order (PO) and advanced shipping notice (ASN) synchronisation.
Stock and product synchronisation.
Despatch updates including status and tracking information.
Prerequisites
Before connecting Brightpearl to Mintsoft, you'll need to create a Brightpearl user account with full API access. You'll need the following details from your Brightpearl account:
Account ID.
Username.
Password.
DataCentreCode.
Add a Brightpearl connection
Go to Connect then Order Integrations.
Click Brightpearl then Add Account.
Enter the AccountID (case-sensitive).
Enter the Username and Password of the account with full API access.
Enter the DataCentreCode from your Brightpearl URL:
Enter eu1 on Mintsoft if your URL shows euw1.
Enter use1 if your URL shows use1.
If you're a 3PL, set the Client.
Optionally, set an Order Prefix.
Set the Frequency to import orders (we recommend 15 minutes).
Configure your integration options:
AddCostingAsNote: Sends fulfilment costs as a note when orders are fulfilled.
AddTrackingDetailsAsNote: Sends tracking information as a note when orders are fulfilled.
Import PO as ASNs: Imports purchase orders as ASNs (see setup instructions below).
Import Products when they don't exist on orders: Creates products in Mintsoft if they don't exist when importing orders.
If you ship internationally, enter a Connection IOSS.
Make the connection Active when ready.
Click Create.
Note: The OrderStatusId, OrderTypeId and OrderStockStatusId fields only need configuring if you're using the Import PO as ASNs feature.
Import purchase orders as ASNs
Configure Brightpearl to import purchase orders as advanced shipping notices in Mintsoft.
Go to Connect then Order Integrations.
Click Brightpearl.
Click Edit against the required connection.
Turn on the Import PO as ASNs toggle.
Enter 7 in the OrderStatusId field (Placed with supplier).
Enter 2 in the OrderTypeId field (Purchase Order).
Enter 4 in the OrderStockStatusId field (Purchase Order Not Fulfilled).
Click Update.
Note: These settings ensure Mintsoft only collects purchase orders from Brightpearl once they have 'Placed with supplier' status.
Stock reconciliation
The Brightpearl integration uses a Stock Recon feature instead of traditional stock sync. This feature compares stock figures between Brightpearl and Mintsoft and adjusts stock when needed.
Note: Stock reconciliation must be run manually.
Go to Connect then Order Integrations.
Click Brightpearl.
Click Stock Recon against your connection.
Select the Warehouse to compare stock from.
Click Compare.
Channel mapping
Map Brightpearl channel names to order channels in Mintsoft.
Go to Connect then Order Integrations.
Click Brightpearl.
Click MapShipping against the required connection.
Click Get Latest Channels.
Use the drop-down options to map each Brightpearl channel to a Mintsoft channel.
Click Update to confirm the mapping.
Click Back.
Shipping mapping
Map Brightpearl courier services to courier services in Mintsoft.
Go to Connect then Order Integrations.
Click Brightpearl.
Click MapShipping against the required connection.
Click Get Latest Shipping Methods.
Use the drop-down options to map each Brightpearl shipping method to a Mintsoft courier service.
Click Update to confirm the mapping.
Click Back.
Note: Selecting 'Auto Select' uses your existing Service Selection Rules and Courier Service Mapping to determine the courier service.
Warehouse mapping
Map Brightpearl warehouses to Mintsoft warehouses.
Go to Connect then Order Integrations.
Click Brightpearl.
Click WarehouseMapping against the required connection.
Click Get Latest Warehouses.
Use the drop-down options to map each Brightpearl warehouse to a Mintsoft warehouse.
Click Update to confirm the mapping.
If you need to change a mapping, click Unmap.
Click Back.
Note: Only map the warehouses you want to import orders or purchase orders from. Leave unwanted warehouses as 'UNMAPPED'.
Troubleshooting
Purchase orders aren't importing
Purchase orders must meet specific criteria to import:
Status must be Placed with supplier.
Order Stock Status must be Not Fulfilled.
Purchase orders with 'Part Fulfilled' or 'All Fulfilled' status won't import.
Orders aren't importing
Orders only import from Brightpearl after a goods-out note is created. You can:
Use the Brightpearl Automation app to create goods-out notes automatically.
Manually select 'Fulfil and ship later' for each order in Brightpearl.
Warning: Auto-fulfilment can trigger immediate shipping. Ensure only paid orders with complete status are automatically fulfilled.
Goods-out notes aren't importing
For goods-out notes to import:
The warehouse must be mapped in Mintsoft.
The goods-out note must have 'unprinted' status.
To view goods-out notes ready to print in Brightpearl:
Go to Sales then Goods-out notes.
Click Due to print.
Order status updates
When orders are imported to Mintsoft:
Orders are marked as Printed then Picked in Brightpearl.
When orders are despatched from Mintsoft:
Orders are marked as Packed then Shipped in Brightpearl.
