How do I use the Non-Profit Kiosk Mode?

Step by step guide for non-profit administrators to navigate to the check in kiosk

Once you've found the Volunteer Kiosk, there are three things you'll need to know how to do: Sign-Up volunteers who have never used our system.  Check-In volunteers when they come to volunteer.  And Check-Out users when they leave.

Sign-Up

  1. The first step in the Kiosk will always to be click "Get Started".  If you leave the Kiosk for more than 60 seconds, it will always time out back to the Get Started screen.

  2. Next you'll click "Sign Up"

  3. Volunteers must enter all required fields on the Sign-Up page to create their account in order to use MobileServe.  Make sure users are especially careful to enter their email address correctly.

  4. Once all the fields are entered, click "Next".  This will both create an account for the volunteer and check them in.  

Check-In

  1. Once your volunteers have created their account, the next time they come to your facility they can Check-In directly, by clicking the "Get Started" button and then "Check-In".

  2. On the Check-In page they will provide their email address and password and click "Check-In".

  3. They'll then be presented with a confirmation screen and a reminder to make sure that they Check Out.

Check-Out

  1. Whether a user has Signed Up or Checked In, they will need to make sure that they Check-Out before they leave your facility.

  2. Once a user has checked in either of the aforementioned ways, there will be an icon that will appear at the bottom of the Kiosk with their Photo (if they've provided one) or their name.

  3. To Check-Out all they need to do is click on their icon and and select "Yes" to confirm that they want to Check-Out.

  4. On the next page they can edit their Check-In or Check-Out time if necessary, and provide information about their visit if they would like via the Tell Your Story section.

  5. When they are finished they'll click "Submit Hours", and then "Done".

Using the Roster View

  1. Situations will likely arise where volunteers might make a mistake.  They may forget their password, or forget to Check-Out.  Roster View is designed to help with these issues.

  2. To access Roster View click on the four grey bars in the upper right hand corner of the screen.

  3. The Roster View will show all currently Checked-In volunteers along with any volunteers who have created a log in the last 24 hours.

  4. If a user has volunteered with you before, but has forgotten their password, you can search for them in the "Find..." box, then click "Check-In" to check them in manually.

  5. If a user forgets to Check-Out, you can check them out on this page by clicking the blue "Check-Out" button next to their name.  If necessary, edit the volunteers Check-In or Check-Out date or time and click "Check Out". It is a good practice to check your Roster at the end of each day to make sure all of your volunteers have been successfully Checked Out.

  6. To navigate back to the Kiosk you can let the page time-out or click on the image of the Home in the upper right hand corner.

Navigate back to the Dashboard

  1. To exit the Kiosk and go back to your Dashboard, you must first click on the four grey bars in the upper right hand corner of the screen to access Roster View.

  2. From Roster View, simply click the image of the Exit Door in the upper left hand corner, and click "Yes" to confirm.

View your Volunteer Logs

  1. Once you've navigated back to your Dashboard, you can view all of your volunteer logs by clicking on the Service Logs page.

  2. This page can be searched or filtered to see any logs that have been created within your organization. 

  3. You can see more details on specific logs by clicking the "View" button to the far right.

  4. From the "View" page you can also edit hours for a volunteer if necessary by clicking on the pencil button next to the Duration value, updating the number of hours and then clicking the check mark.

  5. Lastly, from the Service Logs page, you can also get a spreadsheet of your log data by clicking the "Export" button in the upper right hand corner.  This will send you CSV file with all the information you've requested.
