Admin: How and When Do I Use Auto-Approval?

Set-up and features of the Auto-Approve setting.

MobileServe has two options for service hour approval: manual approval and auto approval. Some smaller organizations prefer to approve individual service logs, while for much larger organizations that process is sometimes not logistically practical. Regardless of the size of your organization, Auto-Approval is a quick and simple way to streamline your processes.

How do I setup Auto-Approval? It’s easy!

From your Admin Dashboard, click on the SETTINGS tab -> click Service Logs (under the settings SUB MENU) -> scroll down to Auto-Approval. Here you will find a drop-down menu with four options inside:

· Never

· Immediately

· All…

· Any…

Each of the four options allows you to choose the verification conditions you’d like to be met for auto-approval to occur. (Need a refresher on the difference between verification and approval? We’ve got you! Click here to brush up on the distinction.)

Never: This is the default setting, which requires administrators to approve each service log.

Immediately: Automatically approves all service logs immediately, even if no verification methods are present.

The next two available options put conditional auto-approval into place.

All…: This setting will automatically approve all service logs that meet ALL the requirements you specify from the verification options presented below the drop box (Signature, Email Verification, Geo-Location, Kiosk Check-Out, Photo). For this option you must select at least one verification method, and you are able to select up to five. However, we suggest choosing one to two of the verification methods that you prefer/trust!

Any…: This setting is almost exactly like the aforementioned “All…” setting, but instead of meeting ALL requirements chosen by the admin(s), volunteers only need to fulfill ONE of the selected verification methods. For instance, let’s say you select “signature” and “photo” as your required forms of verification; the volunteer will only need to provide a signature OR a photo, not both in order to be auto approved.

Once you’ve made your Auto-Approval settings choices, hit the UPDATE button in the top right corner of the screen and you’re good to go!
