Introduction to Templates

Templates allow you to create text shortcuts that get replaced with longer, more detailed pieces of text.

Mobius Conveyor's new Templates feature is a powerful way to capture complex documentation quickly. Templates can contain both simple and dynamic fields within blocks of text. Within those fields, you can dictate or type to quickly complete your documentation!

How to Add Templates

  1. Open Mobius Conveyor and tap on Settings.

  2. Scroll down to the Speech Tools section and tap on "Templates".

  3. Tap "Add" in the upper-right-hand corner.

  4. Type a name for your new template.

  5. Under the template name, dictate or type the text you want to appear each time you use the Template.

  6. (Optional) Add a tag to your template to help organize your templates.

  7. When finished, tap the back button in the upper-right hand corner.

Here's a basic example:

Imagine you’re conducting many telehealth appointments and frequently find yourself repeatedly documenting your rationale for telephone visits in the EHR.

To save typing time you could create a Template called “telehealth," which inserts the following text:

Visit conducted via telephone due to COVID-19 risk.

To use the Telehealth Template while dictating, you would say "insert telehealth."

How to Edit Templates

  • You can edit Templates from Settings —> Speech Tools —> Templates. You will see a searchable list of all your Templates. Simply tap and edit.

  • You can also easily edit existing Templates by pressing and holding the desired Template from the Live tab until it expands and the “Edit” option appears.

Please note: Be sure to connect to a reliable internet connection so that edits to your templates are saved to your account reliably.

How to Insert Templates

There are two ways to insert Templates in Conveyor: dictating and tapping.

  • Dictating: To insert a Template while dictating, use the voice command “Insert” followed by the Template title. Using the example above, you would say “Insert telehealth,” and the full text would appear.

  • Typing: You can also insert Templates by tapping on the Template from the main screen. Locate the desired Template and tap the white box to have the full text appear.

How to Add Interactive Fields to your Templates

You can now add interactive fields to your templates that will prompt you to fill in any missing information.

Here's an example:

Imagine you have a template called "Night Splint" that produces the following text:

The patient is instructed to use a dorsiflexion night splint on their left foot for the next 6 weeks, which maintains the ankle at a neutral or dorsiflexed position during sleep.

We can enhance this template by adding interactive text fields for the parts of the sentence that you are most likely to need to adjust, such as the patient name, the side of the foot (left/right), or the number of weeks.

To add interactive fields, start editing your template and select the word or phrase you would like to replace with an interactive field. Then tap on the type of field you want to replace it with from the menu at the top of the keyboard.

When finished editing, tap on the back button at the top-left to save your template.

Now, when you use this template, you will be automatically prompted to fill in the fields, which you can do by voice or by typing.

Using a Template With Interactive Fields

After inserting the template, the first empty field will be automatically selected for you, and you can dictate or type to fill out the field.

To navigate to the next field, tap on the “Next” button. You can also go to the previous field by tapping on the "Previous" button.

If you have a strong preference for dictating, you can also say the command “Next Field”, but it does take longer to switch to the next field, as you will have to include a small pause before saying “Next Field.”

Using a Template In Live Mode

As a reminder, when dictating in Live mode, text is immediately typed onto a connected computer. Computers can be connected either via the Conveyor USB device or via the Conveyor QR software.

When using a template in Live mode, and it contains fields, the template will appear on your screen before being sent to the computer to allow you to fill out the fields.

You can utilize a template by invoking the template's key phrase (e.g. by saying "Insert [Template Name]") or by tapping on the template name from the carousel picker. Once the template is visible, you can step through each field, filling each by either dictating or typing.

Once you have filled out the fields, simply say "Mobius Convey" or tap the Convey button to transmit the template text to a connected computer.

Using a Template Within A Memo

Templates operate very similarly inside Memos and you can insert as many templates as you need inside each memo.

To do this, tap the "Add Template" button while your cursor is blinking within the memo. You can also speak "Insert [Template Name]" while dictating.

Once inserted, fill the template fields by either dictating or typing. When you would like to transmit the memo containing your template to a computer, simply connect via Conveyor QR or the Conveyor USB device and tap "Convey" in the upper right corner of the memo. Alternatively, you can Convey memos from your memo list by swiping and tapping "Convey."

Advanced: Custom Fields

Custom fields can be created to match your dictation needs and preferences. For example, you could create a custom list field that contains the names of your colleagues for easy re-use within multiple templates.

How to create a Custom List Field:

  1. Navigate to Mobius Conveyor Settings and tap on Templates

  2. Tap on Fields under the search bar near the top of the screen

  3. Under the Lists section, tap Add New

  4. Type in a title for the new List Field, and then tap Done on the keyboard.

  5. Under Allowed Values, tap Add.

  6. Type in the first item for your drop-down list. Then tap the Back button.

  7. Continue adding Allowed Values to your drop-down list by repeating steps 5 & 6.

  8. When all of your Allowed Values are added, tap on the Back button.

Your new custom list field is now ready for use within any Template.

Advanced: Field Options

Depending on the type of field you are customizing, you may also see the below options. Tapping Show Help within the app displays an explanation for each option.

Placeholder Text: The placeholder value is what appears when there is no text entered in the field. Use this value as a reminder of the expected content for this field. If no placeholder is provided, the field name is shown instead.

Default Value: The default value appears whenever this field is used. You can still edit a field's value when using a default value, but the default value is automatically populated, even before editing.

Capitalization: The capitalization behavior specifies which letters should be uppercased. "Auto" capitalization considers the surrounding text, whereas the other values apply regardless of context.

Date Offset: A date offset is an optional value that adjusts the initial value of a date field. Use a date offset if you would like to show a date that is a specific number of days, weeks, or months in the future (e.g. an appointment follow-up date). To show today's date by default, set the offset to 0 days.

Time Offset: A time offset is an optional value that adjusts the initial value of a time field. Use a time offset if you would like to show a time that is a specific number of minutes or hours in the future.

Date Format: Choose how you would like dates formatted for this template field.

Time Format: Choose between 12-hour and 24-hour time formatting for time values.

Show Timezone: Choose whether or not to show a timezone at the end of time values.
