π Timeline to Review Submissions
For all submissions (during the program, during the extension period, and late submissions after the session ends) please review submissions within:
π‘ Submissions #1-4 within TWO BUSINESS DAYS.
π‘ Culminating Submissions within ONE WEEK.
What if I can't provide feedback in this timeline?
What if I can't provide feedback in this timeline?
We understand life happens! If you are unable to provide feedback within the timeframe above:
π« If you cannot review the submission: email us at mentorship@modernclassrooms.org as soon as possible, including URGENT in the email subject line. Our team will follow up to either reassign the submission or reassign the mentee moving forward.
β³ If you need more time (if you're sick, traveling, etc.): email your mentee directly to let them know your delayed timeline and copy mentorship@modernclassrooms.org. Provide feedback as soon as you can, ideally on the third business day. Let us know how we can support you!
We will make note of this, but you might still receive automated reminders to review the submission.
I received multiple submissions at once, so the two-day turnaround is not possible.

Don't worry! This can happen, we understand, and it's a great sign of your mentee's progress. Please:
Determine a reasonable date to review all submissions.
Email your mentee to let them know your updated timeline and copy mentorship@modernclassrooms.org.

This is encouraged!
Even after the extension period has passed, some mentees may return to the course on their own time to continue working on submissions. You will continue to receive notifications for your mentees' submissions, even after the session and extension close.
As of Summer 2024, we heard feedback from mentors requesting to continue reviewing their mentee's submissions, especially when they come in right as the extension ends. We agree that this is a better experience for both you and your mentees. If you cannot review submissions you receive after the program/extension end date, please just let us know at mentorship@modernclassrooms.org, and we will identify a different mentor to review the submissions.
To see which of your mentees are currently active or have open submissions, consult your Mentor Activity Hub or your "Grade Me" block in the course platform.
π΅ Mentor Activity Entries
Please submit activity entry form (accessible in your mentor activity hub) within 24 hours of completing a task.
This ensures you are paid in a timely manner (typically, within the first week of the next month).
We also track mentee progress through your activity entries, so this helps us accurately track the progress of mentee submissions.
π₯³ Mentee Evaluations
Once a mentee submits at least four of five submissions, you will receive an email requesting a mentee evaluation. Please complete all requested mentee evaluations within one week.
Completing mentee evaluations is an important part of the mentorship process and your duties as a mentor.
Continuous feedback on your mentoring experience helps us not only identify stellar mentee candidates for teacher leadership opportunities but also helps us improve the mentoring process and resources.
I'm not sure if I already completed the Mentee Evaluation Survey.
I'm not sure if I already completed the Mentee Evaluation Survey.
Check your mentor activity hub. If you have not completed the Mentee Evaluation Survey, the mentee name will be listed in your mentor activity hub.
ποΈ Update your Calendar Availability
MCP uses Acuity scheduling to schedule coaching and intro calls. Your mentee will regularly receive email communications from MCP with your mentor Acuity link (modernclassrooms.as.me/yourfirstname-yourlastname). Please regularly update your availability in Acuity to ensure your calendar is up-to-date.
Our Mentoring Philosophy
MCP expects all Expert Mentors to:
Be an in-service or retired educator: Mentors are the backbone of the Modern Classrooms Project. You are actively in the classroom implementing our model.
Commit to supporting your mentees: Please commit to your mentee relationships which include timely feedback, availability for coaching calls, and creating a supportive environment throughout their learning.
Be responsive: It is critical to respond to communications from both MCP and mentees within two business days. Read our weekly email updates, and check Slack for announcements and community support from other mentors.
Keep your contact information and welcome video up-to-date: Update your contact information as needed in the "Helpful Resources for Mentors" menu in Moodle. Make sure to update your mentor welcome video as your experience changes!
Keep your Acuity calendar up-to-date: As mentees schedule coaching calls with you, be sure that your availability and calendar is up-to-date in Acuity. This ensures your mentee schedules at a time that works for you! Learn how to update your Acuity availability.
Track your activity completion accurately: We use activity entries not only to ensure you get paid for your hard work but also to track the progress of mentees. Please submit activity entries within 24 hours of completing a task.
Represent MCP: As a mentor, you are a representative of MCP. We know that you are an excellent educator and implementer of the Modern Classroom instructional model, and we trust in you to use your best judgment as a representative of our organization to mentees, their administrators, and your community. Please familiarize yourself with our Mission, Vision, and Values and asset-based language.
Keep learning: As a teacher professional development organization, we strive to embody our value: βThere is always more to learn.β As MCP evolves, we offer mentors additional learning opportunities every year and we ask that you take part in mentor professional development and pre-session mentor orientations.
