Understanding the Mentee Experience

As an Expert Mentor, it's helpful to get acquainted with the mentee journey so you can provide a best-in-class learning environment.

It can be helpful to get acquainted with the mentee journey so that mentors are equipped to support where they can!

  1. 🙋 Enrollment: As educators enroll in the program, the MCP team begins to pair mentees with mentors and share communications to prepare for the program start.

    How do educators find and enroll in the Mentorship Program? Your mentees have different motivations for enrolling in the Virtual Mentorship Program. Understanding how and why they enrolled may be helpful as you build a relationship and individualize their support.

    Mentees can:

    • Enroll as an individual. These educators may pay out-of-pocket to participate in this program and expand their practice of our model.

    • Enroll through a school or district partnership. MCP has a wide network of partner schools/districts, so your mentee may be participating in a district-wide professional development program required by their workplace.

    • Enroll through a scholarship opportunity. Through the support of our generous funders, MCP offers Classroom Innovation Scholarships in specific states and regions.

  2. 🤝 Pairing Connections: Mentees and mentors receive an introductory welcome email from the MCP team so you can schedule an intro coaching call and get to know each other.

  3. 💻 Moodle Course Access: Once you are paired, mentees gain access to the course and can begin working and submitting before the official session start date.

    Mentees will also be able to continue accessing the course following the end of the session date. The Extension policy will still apply, but mentees will continue working with the mentor after the session end date. If at any time you cannot support a mentee, before, during, or after a session, please email mentorship@modernclassrooms.org so the mentee can be re-paired.

  4. 🎥 Launch Webinar: To kickoff the session, mentees are invited to a virtual launch webinar to learn about the program, key timelines, and strategies to make the most of the program.

  5. ☎️ Introductory Coaching Call: Ideally, within the first few weeks of the program, you and your mentee have scheduled and held the intro coaching call as your mentees begin to work on submissions.

  6. ⏳ Suggested Submission Deadlines: We regularly communicate suggested submission deadlines to keep your mentees on track to finish the program.

  7. Mentee End-of-Module Reflections and Feedback: At the end of each module, we ask educators to share their reflections and feedback on the course and their mentoring relationship.

  8. ☎️ Ongoing Coaching Calls: Ideally, you and your mentees hold coaching calls to discuss your feedback, submission questions, and support throughout the program.

  9. Extension Requests: A few weeks before the session end date, mentees can request an extension (via the Extension Form linked in the Moodle course platform) to stay accountable to completing the program. You will be notified of extension requests and all are approved automatically.

  10. 📧 Closing Program Communications: As the program end date approaches, we send emails to mentees to notify them of the program and extension end date. We encourage them to keep working even after the program ends!

  11. 🥳 Program Completion: If your mentee completes all five submissions, your mentee will receive a Certificate of Completion (linked in the Moodle course platform).

    Select mentees may be eligible to receive a monetary stipend. If your mentee has questions about this stipend, you can direct them to stipends@modernclassrooms.org.

    Upon completion, mentees can also request PD and graduate credits or state-specific Continuing Education Units. Mentees can request these directly through their Moodle course platform if they successfully completed the course.


📬 What communications do mentees receive?

The Modern Classrooms team regularly sends mentees email reminders to encourage them and drive momentum throughout the program. In addition to your mentor nudges, we send:

  • Weekly program emails: These include submission deadline reminders and calls-to-action, like logging into Moodle or connecting with mentors.

  • Reminders to schedule coaching calls: We remind mentees to schedule coaching calls through your Acuity link. Be sure to keep your Acuity calendar/availability up-to-date!

  • Text messages to their phone: Email can be overwhelming or get lost in our inboxes. Our team has found success in texting mentees (who opt-in) with regular reminders about submissions and course progress.

  • Announcements & holidays: We'll notify both mentees and mentors of upcoming holidays or office closures so you're aware of our response timeline.
