Modjo Recorder

Automatically record your Google Meet and Microsoft Teams meetings.

💡 The Modjo Recorder is a bot that automatically joins your Google Meet or Microsoft Teams meetings, records audio and video, and imports everything into Modjo in under 10 minutes.


1. Prerequisites

Before using the Modjo Recorder, make sure the following are in place:


2. How it works

The Modjo Recorder detects meetings via links found in your calendar and automatically joins the session at the scheduled time. It appears as a visible participant under the name "Modjo Assistant" (which you can customize), informing all participants that the meeting is being recorded.

ℹ️ A valid meeting link is required: The bot needs a valid Google Meet or Microsoft Teams link to join a meeting. If the calendar event does not contain one (e.g. an in-person meeting) or if the link is invalid, the bot will not be sent.

Before the meeting

  • The bot connects at the scheduled time in your calendar.

  • A message is displayed to inform participants of its presence and that the meeting is being recorded.

  • You can accept or decline its participation. If declined, it will leave without recording.

⚠️ Important: The Modjo Recorder waits up to 10 minutes in the waiting room. If the meeting doesn't start within that time or the bot isn't admitted, it will leave automatically. You will need to call it manually.

During the meeting

  • Once admitted, the bot continuously records audio and video.

  • It is completely discreet: it does not interact with participants or disrupt the meeting.

  • Only the meeting organizer can remove the Modjo Recorder (see section 3. Removing the bot).

  • To stop the recording at any time, remove "Modjo Assistant" from the participant list.

After the meeting

  • The recording is automatically imported into Modjo within 5 to 10 minutes after the session ends.

  • You can then access the full video, revisit specific moments, annotate key passages, and easily share recordings with your team.

🗂️ Recording retention: The retention period is defined by your administrator in SettingsSecurityRetention Policy. Without an active policy, recordings are kept indefinitely.


3. Removing the bot

There are several situations where you may want to remove the Modjo Recorder from a meeting in progress.

  • Remove "Modjo Assistant" from the participant list to immediately stop the recording.

  • Only the meeting organizer can remove the bot. Other participants cannot.

  • If the bot is declined at entry or removed, it leaves the meeting permanently. You will need to call it manually if you wish to resume recording.

⚠️ A removed bot will not rejoin automatically. Call it manually if needed (see section 7. Calling the bot manually).


4. Cancel a scheduled recording

To cancel the bot before a meeting starts:

  1. Go to your Modjo Calendar

  2. Click on the relevant meeting

  3. Select "Cancel scheduled recording"

Automatic participation

Three modes are available to define when the bot joins a meeting:

Mode

Description

For every call inviting a licensed user (default)

The bot joins all meetings where at least one participant has a Modjo license, even if the organizer doesn't. Ideal for recording meetings with prospects.

Only if the organizer has a license

The bot only joins the meeting if a licensed Modjo user is the organizer.

Never record automatically

The bot must be called manually each time.

Recording format

Four formats are available depending on your needs:

Speaker View (default)

Focuses on the active speaker and dynamically switches between participants.

Displays all participants equally in a grid layout.

An improved version of Gallery View with optimized layout.

Audio only

Captures audio only, without video. Useful for contexts requiring greater privacy or regulatory compliance.

Custom entry message

When the bot joins a meeting, a message is sent to participants to inform them of the recording.

You can edit this message via: SettingsIntegrationsOptions

📌 GDPR best practice: Clearly state in this message that the call is being recorded and why. Participants must be informed transparently. You can also add an optional sub-message with additional information.


6. Customizing the bot's appearance

Adapt the Modjo Recorder's appearance to your brand via: SettingsIntegrationsCustomizations

  • Bot name: "Modjo Assistant" by default. You can replace it with your company name or any custom name visible to participants.

  • Logo: Add your company logo (accepted formats: JPEG or PNG, max size: 4 MB).

  • Colors: Customize the background and text colors to match your brand guidelines.

  • Welcome message: Write a sentence that will appear at every meeting to inform participants.


7. Calling the bot manually

In some situations, you will need to call the Modjo Recorder manually:

  • The bot did not automatically join the meeting

  • It left the waiting room or the meeting

  • The meeting was not in your calendar

  • You want to record an unplanned internal meeting

Three methods available:

1. Via the Modjo extension Click the green widget directly from your ongoing meeting.

2. Via the Modjo calendar Call or remove a bot from your calendar view in the Modjo interface.

3. Via a meeting URL Paste your meeting link directly into Modjo to trigger the recording.


8. FAQ

My calendar has events without a meeting link — will the bot still join? No. The bot requires a valid Google Meet or Microsoft Teams link to work. If the event doesn't contain one (e.g. an in-person meeting) or if the link is invalid, the bot will not be sent.

How does the bot handle recurring meetings? Each occurrence of a recurring meeting is treated independently. Specifically:

  • The bot is automatically scheduled for each occurrence, provided the usual criteria are met (valid video link, at least one external participant, active license).

  • Enabling or disabling the bot on one occurrence does not affect the others. If you remove the bot from next Tuesday's meeting, it will still be scheduled for the following Tuesday.

  • If an occurrence is deleted from your calendar, the associated bot is automatically cancelled.

⚠️ The bot does not join internal meetings (with no external participant / contact), even if they are part of a recurring series.

Can the bot wait for me if I'm running late? Yes. The Modjo Recorder waits up to 10 minutes in the waiting room. After that time without being admitted, it leaves automatically. You will then need to call it manually.

What happens if a participant declines the bot? If the bot is declined or removed, it leaves the meeting and the recording stops. Only the organizer can remove the bot.

What happens in case of a network outage? The recording made up to the outage is saved and processed normally. The remainder of the meeting will not be recorded. To resume, manually send the bot back using the current meeting link — both recordings will be available separately in Modjo.

Is there a maximum recording duration? No. The bot records for as long as the meeting is running. It leaves automatically in the following cases:

  • Extended silence of more than 1 hour

  • All participants have left the meeting (leaves within 30 seconds)

  • No one joins the waiting room (~20 minutes)

How long until the recording is available? The recording is available within 5 to 10 minutes after the session ends.

Where can I find the recording in Modjo? Go to the Calls tab in your Modjo workspace. The recording appears automatically once imported.

Does the bot work on Zoom or other platforms? No. The Modjo Recorder is only compatible with Google Meet and Microsoft Teams.

What should I do if the bot doesn't join the meeting automatically? Check that your calendar is connected to Modjo and that the meeting contains a valid Google Meet or Teams link. If the issue persists, call the bot manually and consult the article Why isn't my meeting imported.

Can I record a meeting organized by a prospect? Yes, if the automatic participation setting is set to "For every call inviting a licensed user" (default mode).

Who can modify the bot's settings? Managers and Admins only. The SettingsIntegrations section is protected by a role-based access control. They can modify the automatic recording mode, the bot's visual customization, and the entry message. The retention policy (SettingsSecurity) is reserved for Admins only.

Who can call the bot manually? Any user with an active Modjo license. Before sending the bot, Modjo verifies that the license is active, that the organization is connected to a bot recorder provider, and that the meeting URL is valid.

How long are recordings kept? The retention period is defined by your administrator in SettingsSecurityRetention Policy. The admin can enable or disable automatic deletion and choose a duration (days, months, years). Without an active policy, recordings are kept indefinitely. Calls manually saved to the library can be exempt from automatic deletion.

Is the Modjo Recorder GDPR compliant? Yes, provided best practices are followed: inform participants via the custom entry message and specify the purpose of the recording. See our dedicated article Security & Privacy of the Modjo Recorder for more details.
