The Modjo Recorder is an automated bot that joins your Google Meet or Microsoft Teams meetings as soon as they start.
It appears as a visible participant under the default name "Modjo Assistant" which you can customize according to your preferences. Its presence informs all participants that the meeting is being recorded, ensuring transparency and consent.
It automatically records the entire session, capturing both audio and video. At the end of each meeting, the recording is imported into the Modjo platform. This allows you to easily review your exchanges, access precise summaries, or share key moments with your team.
How the Modjo Recorder works
The Modjo Recorder is a bot that automatically joins your meetings on Google Meet or Microsoft Teams as soon as they start. It appears as a participant under the name "Modjo Assistant" or any other name you have customized.
At the beginning of the meeting
When the bot joins the meeting, all participants see its presence, ensuring full transparency regarding the recording.
You can accept or decline the bot's participation at the start of the meeting. If you wish to stop the recording, simply remove "Modjo Assistant" from the participant list.
During the recording
Once accepted, the Modjo Recorder immediately starts capturing the entire meeting, recording both audio and video continuously and discreetly.
During the meeting, the bot does not interfere with the conversation and does not interact with the participants. It simply captures everything that is said and presented accurately.
After the meeting
At the end of the meeting, the recording is automatically imported into Modjo within five minutes.
You can access the complete video, review specific moments, annotate important sections, and easily share the recordings with your team.
Cancel a bot before a meeting
To cancel a recording bot before the beginning of a meeting, follow these simple steps:
Access your Modjo Agenda > Click on the desired meeting in the list < Select the option Cancel Scheduled Recording.

The bot detects meetings via links found in the calendar and automatically joins them.
When you join a meeting, a message notifies you of the bot's participation request. You can accept or decline this request.

Customizations

To do this, go to "Settings" > "Integrations" > click on "Customizations" and apply your customizations:
Change the bot's name: By default, the bot is named "Modjo Assistant," which will be visible to all participants when the Modjo Recorder joins the meeting. You can choose to change this name to personalize the participant's experience, for example, by displaying your company's name.
Add your company logo: Integrate your logo to enhance your brand's visibility during meetings. JPEG and PNG files, with a maximum size of 4 MB, are accepted.
Adjust the background and text colors: Align these elements with your logo's color palette for a consistent visual experience.
Write an explanatory phrase that will appear at each meeting. Indicate that the call is being recorded and explain why, in compliance with CNIL rules. It is advisable to add a sub-phrase for additional information (optional).
Automatic participation settings
The Modjo Recorder offers three options for the bot's automatic participation in your organization's meetings.
These settings are accessible via Integrations > Google Meet or Microsoft Teams > Options > Automatic Recording:
Participation for every call inviting licensed users: The bot automatically joins the meeting, whether the organizer is a Modjo user or not, as long as at least one participant has a license. This way, the Modjo Recorder can join all your meetings, including those organized by your prospects (default behavior).
Participation only if a licensed user organizes the meeting: The bot only joins the meeting if the organizer is a Modjo user with a license.
No automatic recording: The bot must be called manually; no automatic participation is provided.
Output format selection
The Modjo Recorder allows you to customize the format of your meeting recordings to meet your organization's requirements. You can configure the recording mode to capture different views or limit the recording to audio-only.
Available recording modes
When configuring the Modjo Recorder, you can choose from the following recording formats:

Manually calling the Modjo Recorder
In some situations, you may need to manually call the Modjo Recorder, such as:
If the bot did not automatically join the meeting.
If the bot left the waiting room or the meeting.
If the meeting was not scheduled in the calendar.
If you want to record an internal meeting.
There are three different ways to manually call the Modjo Recorder:
Use the Modjo extension widget: If you have the Modjo extension, call the bot directly from your meeting via the green widget.
Use the Modjo calendar: Call or remove a bot directly from your Modjo calendar.
Use the meeting URL: Add a meeting URL directly into Modjo to call the Modjo Recorder.

Why Recordings May Fail
Modjo Recorder Not Admitted to the Meeting
If the Modjo Recorder bot is not admitted from the waiting room or lobby at the start of the meeting, it cannot record the session. Here’s why:
When a meeting begins, the Modjo Recorder bot joins and waits in the meeting’s lobby for up to 10 minutes.
If no one admits the bot by clicking “Accept” during this time, it leaves the meeting.
Without the bot in the meeting, no recording is made, and therefore, no transcript is generated.
Recordings Cannot Be Recovered Later
Unfortunately, if the bot was not admitted to the meeting, it is not possible to recover a recording or transcript. Make sure the admission process is completed correctly to avoid missing crucial recordings.

To ensure that Modjo recordings are not missed in future meetings, follow these simple steps:
Verify Recorder Presence: Confirm that the Modjo Recorder bot has joined the meeting’s waiting room. The bot typically appears in the list of participants waiting to join.
Admit the Bot Immediately: Once the bot is visible in the waiting room, click “Accept” or “Admit” to allow it to join the meeting.
Check Confirmation: Ensure it is listed as a participant in the meeting once admitted. This confirms that recording has started.
What happens if the meeting doesn't start on time?
The Modjo Recorder waits up to 10 minutes in the waiting room. If the meeting does not start within this time frame, or if the bot has not been accepted, the bot will leave the room. If the Modjo Recorder bot is not admitted within this period, no recording or transcript will be generated. Verify the bot's presence in the waiting room and admit it promptly to ensure successful recordings.

The meeting recording is usually available within 5 to 10 minutes after the session ends.
