Invite talents to shifts

Learn how to invite and assign talents to one or more shifts.

Select the shifts you want to invite talents to. You can only select shifts within the same schedule and its sub-schedules; it is not possible to select shifts across multiple schedules.

The Invite talents page opens on the left, displaying a list of talents from the Talent Pool associated with the project or schedule.

For each talent, you can view their full name, location, availability, colleague rating, and other relevant information to help you choose the right candidate for the selected shifts.

Availability is indicated by a colored badge on the talent's profile picture:

  • Green – Available

  • Yellow – Partially available

  • Red – Unavailable

Hover over the badge to view detailed availability information.

Use the Search talents field to quickly find talents by name, email, location, or other criteria.

Click Filter in the upper-right corner of the Invite talents page to filter talents by location, availability, date of birth, and more.

Click a talent's profile picture to select them for invitation. The Send assignment invitation button will then appear. Important: You can easily see which talents are being invited to each shift, as the selected shifts are clearly highlighted.

Click Send assignment invitation to open the invitation window, where you can review and edit the message sent to the selected talents.

You can also enable the SMS option to send the invitation by text message in addition to email.

Enable Allow selection of shifts to accept if you want talents to be able to choose which specific shifts they wish to accept instead of accepting the entire schedule.

Click Invite to send the invitation. The shift status will update to show the number of invited talents, for example, "2 invited."

Assign Talents Manually

  • To assign talents manually, select the shift you want to assign.

  • Use Select multiple to choose several available shifts for assignment.

  • Then select a talent. Only one talent can be assigned to a shift or selected group of shifts.

  • Click Assign. The talent's status will change to Assigned.

  • Once the shift's end date has passed, its status changes to Completed.

Important: Shifts with the Assigned and Completed status are cannot be edited. Shifts in Completed status can't be removed.
