Create and manage Tasks

Learn how to create, track, manage tasks, monitor progress, and automate notifications.

Tasks help your team coordinate shift staffing, track progress, and communicate with customers when needed. A task can be created for a single shift or multiple shifts.

Create a Task

You can create a task in several ways:

  1. While creating an assignment – Enable Create a task. After clicking Create, the Add task window opens.

  2. For a single shift – Open the shift, click More actions, and select Add task for co-workers.

  3. For multiple shifts – Select the shifts and choose Options → Create a task.

  4. As a bulk action – Use Select to choose multiple shifts from More actions on the top right of the shift, then click Add task.

Configure the Task

In the Add task window, enter:

  • Task description

  • Project team members responsible for the task

  • Priority

  • Due date and time

Overdue Action

Choose what should happen if no talent is assigned before the task deadline.

  • Unfulfill and Report – Automatically marks unassigned shifts as Unfulfilled and sends email and/or SMS notifications to the selected recipients.

  • Unfulfill Only – Automatically marks unassigned shifts as Unfulfilled without sending notifications.

  • Without Action – Leaves the shift status unchanged and sends no notifications. Use this option for internal follow-up only.

If you select Unfulfill and Report, specify the contacts who should receive email and/or SMS notifications.

Success Action

Choose what should happen when the task is completed successfully.

  • Do Nothing – No notifications are sent after talents are assigned.

  • Send a Message – Sends an email and/or SMS notification to the selected recipients once the shifts have been assigned.

Note: Email addresses selected for Unfulfill and Report are automatically pre-filled when Send a Message is selected as the success action.

If all shifts in the task are assigned before the deadline, the success notification is sent immediately. If only some shifts are assigned before the deadline, the success and unfulfillment notifications (if enabled) are sent at the scheduled due date and time.

When a task is added, a task icon is displayed in the bottom-right corner of the shift. Hover over the icon to view the task details or click Edit Task to update the task if needed.

When a task becomes overdue, the task icon turns grey, making it easy to identify overdue tasks at a glance.

Manage Tasks

After a task is created, the selected shifts display a task label. Hover over the label to view task details or click Edit Task to update the task.

You can manage all tasks from the Tasks page in the left-hand menu.

Use the page to:

  • Search for tasks.

  • Switch between All Tasks and My Tasks.

  • Filter tasks by To Do, In Progress, Overdue, Done, Discarded, or Partially Done.

  • Sort tasks by Status, Priority, or Deadline.

Each row represents a task and displays key information. Click the task status to open the related project, or hover over Schedule Period and Shifts Filled to view additional details.

Use More actions to Edit, Discard, or Delete a task.
