Schedule and conduct interviews with the candidates

Microsoft Outlook Integration process flow:

  • Contact the person at your organization who manages Office 365.

  • Ask them to adjust the User Consent Settings. This page is found within the Consent And Permissions settings.

  • On this page, the "User consent for applications" option must be set to "Allow user consent for apps".

  • Alternatively, the "Group owner consent" option can be adjusted so that 365 group owners can approve the connection to Mojob for each user who requests it. With this option, the group owner will be notified when a Mojob user tries to authenticate their account and must approve it manually in Office 365.

Interview set up

If you have not connected the calendar, please make sure that the actions in the first paragraph are fulfilled. If you have connected the calendar then when adding interview scheduling app you are automatically added as the Organizer of this event. Organizer can add other interviewers from the list. Interviewers are marked as either "Calendar connected" or "Outlook calendar not connected". Only connected users can be set as organizers. Not connected users can open already added Interview scheduling app, update details there, but they can't create a new interview scheduling app. They first need to connect the calendar. If the organizer is changed during the recruitment process, then all valid appointments are respectively updated and added to this new calendar. Set the time slots and interview details. During the recruitment process you can update the time slots by clicking three dots next to each time slot. You can Reschedule/Update time slot (opens a calendar to select another date and time), Make available again (make a booked timeslot open for applicants again), Delete timeslot (removes booked timeslot from calendar).

Types of interviews:

  • On-site interview: to be conducted in company's premises. Sent interview details contain Time, place, name of the event. It can be used together with Group interview.

  • Online interview: online skype or teams link is generated straight after applicant selects time slot. If links got broken due to some reason it's enough to reconnect the calendar, then they become valid. NOTE: reconnection fails if other than initially selected calendar is reconnected. If this interview type is ON, then Location field should become inactive and empty. When it is OFF, unit location is back. This interview type can be used together with Group interview.

  • Group interview: more than 1 user can use the same time slot. When 1 time slot is used by more than 1 applicant, then Rescheduling/Cancelling a time slot by business user via chat should Reschedule or Cancel the interview only for this applicant.

Appointment events are sent to the connected and invited users to their respective email addresses with the event details attached to the calendar. Once an applicant accepts the timeslot, you will receive a respective notification in the Dashboard and can see the Interview details in chat with Reschedule/Delete options below Interview date in chat. Applicants have the same options in chat for already accepted timeslot.

NOTES:

  • Reschedule/Cancel buttons below the accepted time slot are available only for not yet finished interviews in all states except for Rejected state. When the interview date has passed, or if the applicant is moved to Rejected state, then those options are not available any more.

  • Every update to appointment/timeslot also updates the email event received by all applicants who accepted the same time slot. Applicants of group interview can see email addresses of other applicants. This is the feature by Microsoft Outlook for group interviews.
