Moovs Vehicle Setup and Pricing Terminology

Here are some terms that you will find in the Vehicle Page in Moovs, what they mean within the Moovs system and how they are used to create rates for your vehicles and make for a great customer experience.

Vehicle Name

This is how you would like your customers to refer to your vehicles, and potentially how you refer to the vehicle internally. The Vehicle Name entered in this field is listed on your Booking Tool page as the name of the vehicle that the customer selects to book, in confirmation emails, as well as being listed on the Driver App and the Customer Link.

Vehicle Type

Select the best type of vehicle from the drop down menu of options. This is displayed on the Booking Tool as vehicle information as well as to the customer through the link with details of the trip.

If you are farming out through the Moovs network of operators the list of potential farming partners is reduced to those operators with a vehicle matching the Vehicle Type you are trying to farm out.

Passenger Capacity

This should be entered as total number of seats in the vehicle, minus the driver seat. Sometimes in the onboarding this information is requested as a 'Driver plus how many passengers is maximum vehicle occupancy?'.

This is displayed as information in the Booking Tool for your customers to see when selecting the vehicle for their reservation.

License Plate Number

This should be the actual plate number that is attached to the vehicle that is going to do the job.

The License Plate number is listed in the details of the trip assignment when it is sent to the driver, so the driver is able to identify the vehicle to take. Similarly the passenger receives the license plate number detailed in the automated messages to them.

Description

This is a write-in field where you are able to detail the services of the reserved vehicle, expand upon the amenities or list anything else about the reservation that you wish.

The information captured in the Description field for each vehicle is listed on the vehicle listing on Moovs based websites.

Exterior Color

Enter the color of the vehicle that will do the job.

VIN Number

Although the initial setup for the vehicle can be done with a placeholder as the VIN (eg1234), it is recommended that a correct VIN is listed for each vehicle.

Cancellation Policy

If you have created a Cancellation Policy in Moovs Settings (from the log-in screen go to Settings - Cancellation - Create Policy) you are now able to link that policy to the vehicle by selecting it from the drop-down options.

The Cancellation policy is available to your booking contacts on the last page of the Booking Tool where they click to Submit Quote or Make Reservation.

Confirmations are sent to your booking contacts by email with a live link to the reservation page, your Cancellation Policy (and Terms and Conditions), when created, are able to be viewed on this page also.

Insurance Policy

Similarly to the Cancellation Policy, you are now able to link the Insurance Policy, if created, to the applicable vehicles by selecting it from the drop-down menu. The insurance policy is not displayed anywhere else in Moovs.

Active Status toggle

When creating the vehicle for the first time the Active button must be in the On position. However once the vehicle has been saved it may be turned to the Off position.

Changing from On (Active) to Off (Deactivated) will remove the vehicle from being listed on your Booking Tool as well as remove it from the Vehicles listed on your Moovs built website. If you have two very similar vehicles you may leave one as Active and the other as deactivated to streamline your vehicles listing.

Even if a vehicle is Deactivated you are able to select it from your vehicles list and assign it to a trip in the Reservation's Dispatch block.

Photos

Photos can be uploaded and rearranged through the Vehicle setup page, and is as easy as attaching a document to an email. Moovs allows for a total of six photos per vehicle and they must be in either .jpeg or .png format. To rearrange the photos drag and drop them into the order you wish.

The photos added to each vehicle are viewed by your booking contacts on your Moovs built website and the Booking Tool when making a reservation. The first photo listed is shared with your Driver through the driver job assignment message and Moovs Driver App, and with your passengers through the automated text message when a trip is started.

Vehicle Features

Select all the features that are relevant to your vehicle by checking the box next to the listing. On the Booking Tool your contact is able to see them as a consolidated list when they are reviewing the vehicle to reserve.

If a feature is missing it can be added in the Description field.

Pricing - Transfer

The Transfer pricing elements are used to calculate rates One Way or Round Trip is selected as the Trip Type, this can either be on the Booking Tool by the contact or through the your Create reservation button. Some operators use the term Point to Point to refer to this style of reservation.

Something to consider is that Moovs' rate calculation is circular, from garage to garage.

The actual calculation that Moovs uses and breakdown of miles and rates is not ever disclosed to Booking Contacts as line items. Rather, a base rate that is calculated using the following elements.

Minimum Total Base Rate

This defines the cheapest rate that you will offer.

An example that you might have experienced during your onboarding session is:
What is the rate you present if a passenger is staying at a Hotel and books you to take them to a restaurant two blocks away. The rate that would be given through a milage based calculation is too cheap for you to service, so Moovs does not allow that rate to be shown to the contact, instead presenting your Minimum Total Base Rate, your cheapest accepted rate.

Deadhead Rate Per Mile

The Deadhead rate per mile is the amount you charge per mile when the passenger is not onboard. This happens twice in all Moovs Transfer rate calculations, first when you leave the garage to go to the pick-up location, and then again when you leave the drop off location and return back to the garage.

If you have back to back reservations and the vehicle and driver do not return to the garage, this does not affect the calculation, it remains as a garage to garage rate calculation.

The Deadhead Rate Per Mile field can be left as a $0.00 field and increase by increments of $0.01 to fine tune your rate calculations.

Trip Rate Per Mile

This is the passenger onboard portion of the rate calculation, and uses the amount entered in this field multiplied by an exact distance between the pick-up and drop off locations.

In instances that operators do not have a Deadhead Rate Per Mile, it is often seen that the Trip Rate Per Mile is higher to account for the distance traveled to get to the pick-up location and back to the base.

Trip Rate Per Mile can also increase by increments of $0.01 to fine tune your rate calculations.

Pricing - Hourly

The Hourly Pricing calculation is from garage to garage by timing, for only reservations based on a reserved number of hours.

Total Deadhead Duration

This defines how much time you are willing to travel before charging the client for Hourly reservations on top of their reserved time. If this is set to 1 hour, this makes the system calculate a free period for the garage to pick-up location and for the drop off location back to garage for up to an hour.


Scenario

Company: ABC LA Transportation

Address: 1234 Hollywood Boulevard, Los Angeles

Reservation: Pick up at Terranea Resort and drop off at Terranea Resort, 3 hours reserved time

Hourly Rate: $100 per hour, minimum 3 hours.


If ABC LA's Deadhead duration was set to 1 hour -

Pick-up Deadhead Time 1:20 minus Deadhead Duration 1:00 - 20 minutes billable time

Reserved time 3:00
Drop off Deadhead Time 1:20 minus Deadhead Duration 1:00 - 20 minutes billable time

Total trip charge time 3:40

This reduces the billable non-passenger-on-board time from a total of 2 hours 40 minutes to only 40 minutes.

If ABC LA's Deadhead duration was set to 2 hours -

Pick-up Deadhead Time 1:20 minus Deadhead Duration 1:20 - 0 minutes billable time

Reserved time 3:00
Drop off Deadhead Time 1:20 minus Deadhead Duration 1:20 - 0 minutes billable time

Total trip charge time 3:00
This is not charging for any of the non-passenger-on-board time that it takes to get to/from the pick-up/drop off location, and purely the time that the passenger reserved.

If ABC LA's Deadhead duration was set to 0 hours/No Deadhead -

Pick-up Deadhead Time 1:20 minus Deadhead Duration 0 - 1:20 billable time

Reserved time 3:00
Drop off Deadhead Time 1:20 minus Deadhead Duration 0 - 1:20 billable time

Total trip charge time 5:40
This is charging in full for all of the non-passenger-on-board time that it takes to get to/from the pick-up/drop off location, being sure to cover the cost of getting to and from the reserved locations from the base/


Operators with a nation-wide reservation presence are encouraged to select No Deadhead to allow Moovs to make the correct rate calculations. Otherwise the Moovs hourly calculator will take in to consideration the travel time from, say, New York to Los Angeles for the pick-up and drop off legs.

Weekday Hourly Rate

Enter how much you charge your clients per hour for your Weekday Hourly services. It is common that the Weekend and Weekday Hourly rates are different.

Weekday Hourly Minimum

Enter the minimum number of hours that you accept for hourly reservations for during weekdays.

If the Weekday Hourly rate is $100 per hour and your Weekday Hourly Minimum is 4 hours, a reservation for 3 hours will still be accepted, however it will be billed at $100 at 4 hours.

Weekend Hourly Rate

Enter how much you charge your clients per hour for your Weekend Hourly services. It is common that the Weekend and Weekday Hourly rates are different.

Weekend Hourly Minimum

Enter the minimum number of hours that you accept for hourly reservations for during weekdays.

Choose your Weekends

Select the days that you consider the weekends for your business. Taking in to consideration the Weekend Rates and Hourly Minimum set in the previous fields.

Enable Base Rate Automation toggle

Setting the Base Rate Automation to the ON position does multiple things

  1. It will present a price to the client using your booking tool (if the pick-up time is outside of the Booking Tool Reservation Cutoff Period).

  2. Drives the customer journey to be Reservation Based, conversely if the toggle is in the OFF position all inquiries will be received as Quotes needing attention from the operator to convert to a Reservation

Internal Notes

A write-in field for you and your team to reference in the future, potentially use this to record changes to the vehicle pricing as a log.
